Business supplies and services: Digital job cards for workwear suppliers
Digital job cards for workwear suppliers that record, per employee, the pack, sizes, decoration and size approval, from workshop to packing table.
What a job card for workwear suppliers should hold.
In the workshop and at the packing table, workwear suppliers live by details. Does the logo go on the left chest or the right, is it a women's or men's fit, is the right employee's name on the back? A printout of the order holds that information in a table, but whoever embroiders or packs has to read it line by line. A swapped size or a misspelt name only shows up when the employee opens the pack, and personalised items cannot be exchanged. Afterwards it is also impossible to tell whether the employee had confirmed their size or whether the size sheet held a guess.

From preparation to signed-off card.
Prepare a pack per employee
Each job card shows one employee pack: name, role, location, items with fit and size, logo positions and any name printing. Each size shows whether it was confirmed after a fitting or is still an estimate. A pack containing an estimate cannot go into decoration until someone deliberately releases it.
Tick off decoration per position
In the workshop, staff tick off the decoration per item: logo in the right position, right colours, name checked against the card. A mistake or damage is reported straight away with a photo and creates a replacement line. It stays visible which items need redoing and why.
Pack with a check
At packing, each item is scanned or ticked off against the job card. If something is missing, the pack stays open and the planner sees what it is waiting for. A complete pack gets a label with name and location, so delivery per location needs no further sorting.
No more paper and loose photos.
Orders often come from order management or the web shop, the workshop works from paper lists and the packer from the wholesaler's delivery note. The job card pulls data from order management and runs on a tablet or screen at the machine and packing table. The workshop owns the decoration records, the packer owns the check, and the customer owns their staff's size confirmations.
Card per employee or per order
A card per order is clear for scheduling, but in the workshop and at packing it is easy to lose your place in a long list. A card per employee makes every pack checkable. Both are possible: the order as the collection, the employee as the unit of work.
Size approval mandatory or not
Size approval for every employee prevents arguments about exchanges, but requires the customer or employee to respond before work can start. With large numbers that can cause delay. Mandatory for personalised items and optional for items with only a logo is a reasonable middle way, because name printing in particular cannot be undone.
Scan or tick at packing
Barcode scanning is fast and reliable but needs every item to carry a code the job card knows. Ticking on a screen works without codes but is more prone to mistakes. Starting with ticking and adding scanning for items with their own code is a gradual route.
What goes on the job card.
Job cards per staff pack with size status, ticking off decoration per position, reporting errors with a photo and the packing check with labels per employee are set up for the workshop and the packing table. With your people we walk through an ordinary order from a customer with one location, and the order where a name turns out to be misspelled after embroidery. Barcode scanning and size approval through the customer portal can be enabled once the job cards are in daily use.

Explore pricing and optionsHow do we know whether a size has been confirmed?
Each size on the job card shows its source: fitted on a fitting day, given by the employee or estimated by the customer. Only confirmed sizes go into decoration without an extra step. You can always see afterwards what a size was based on.
What happens to an item that was decorated wrongly?
It is reported with a reason and photo, and a line for a replacement item is created. Depending on the cause, that line is charged to the workshop or to the customer, for example when the supplied name list contained the mistake.
Can the customer see the job cards?
Not the internal job card, but they can see the status of each employee pack, for example through the customer portal. An office manager can see which packs are ready and which are still waiting, without the workshop details.
Does this also work for reorders of single items?
Yes. A reorder for one employee becomes a job card with just that item. The workshop and packer work the same way, so single pieces leave with the same checks and a new colleague does not receive the wrong size.
