Business supplies and services: Scheduling software for workwear suppliers
Scheduling software for workwear suppliers that lines up on-site fittings, production and delivery rounds, so every employee gets their pack when it was promised.
What makes scheduling hard for workwear suppliers.
Scheduling at workwear suppliers has three moments that wait on each other. First the fitting, often on site at the customer, with fitting samples in every size. Then the order with the wholesaler and the decoration in the workshop, which can only start once all sizes are known. Finally delivery, ideally packed per employee and dropped off per location. If a few staff are off sick on fitting day, the whole order stalls. A wholesaler delivering one size late holds up decoration. Without an overview, nobody knows which part of an order is ready and which customer needs a new date.

Plan fittings per location
For each customer and location a fitting is booked with the number of staff to be fitted and the fitting samples required. The planner sees which adviser is free and which fitting sets are not in use elsewhere that day. Staff who are absent are flagged for a second session or a set sent by post.
Schedule decoration on available stock
Once sizes are known, the order goes to the wholesaler. The planner sees per order which items have arrived and which are still on their way. Decoration in the workshop is scheduled per logo and technique as soon as the items are in, so the machine does not have to keep switching logos.
Assemble the delivery round
Finished packs are bagged per employee and gathered per location. The planner builds a delivery round or ships by post, depending on the agreement. If an order is not yet complete, the planner decides between a part delivery or holding everything back, and the customer sees the expected date.
Alongside your calendar and your team.
Fittings often sit in the adviser's calendar, orders in order management or the wholesaler's web shop, and the decoration schedule on a board in the workshop. The planning reads those sources, so the planner has one picture. The wholesaler owns lead times, the workshop owns the decoration sequence and the adviser owns the fitting appointments. The customer owns their staff list and locations.
Fit on site or post fitting samples
A fitting day on site gives the best sizing and a personal moment with the team, but costs an adviser a day. Fitting samples by post are cheaper, but staff do not always try them on carefully and sometimes return them late. On site for large teams and by post for individuals is a workable split.
Part deliveries or everything at once
A part delivery gets most staff their clothing sooner but costs extra shipping and explanation. Everything at once is simpler, but one missing size then holds up the whole team. The choice can be set per customer, with a default the planner can override per order.
Workshop scheduled by order or by logo
Scheduling per order keeps a customer together but means many changeovers on the machine. Scheduling per logo groups decoration for the same customer across several orders, which is more efficient but can delay an urgent order. The schedule shows which sequence leads to which delivery date.
What we set up in the schedule.
Fittings per location with fitting packs, received items per order, decoration on what is in stock and the delivery rounds: we record all of that in the planning at the start. Then we replay an ordinary order from a customer with one location, and a difficult one: some staff miss the fitting day and a wholesaler delivers one size late. Once the planning holds up in both, it goes live. Messages to the customer about expected delivery dates can be switched on later.

Explore pricing and optionsHow do we stop fitting sets being double booked?
By including fitting sets as a resource in the schedule. A set taken to a fitting day is reserved for that day. When booking a second fitting, the planner sees whether enough sets in the right sizes are available.
Can we fit in urgent orders for new starters?
Yes. A reorder for a new employee can be scheduled as a small order, with priority in the workshop if needed. The planner sees which other orders move as a result and can choose deliberately whether that works, or help the new colleague from customer stock for now.
Does the customer see when their order will be delivered?
If the customer portal is used, the customer sees the status and expected date there. Otherwise they get a message when the date is fixed or changes. The planner decides when a date is firm enough to share, so the customer does not keep receiving revised expectations.
Does scheduling work if we outsource decoration?
Yes. The external workshop is included as capacity in the schedule, with the turnaround time you agree. Sending to and receiving from the workshop become steps in the order, so it is clear where the clothing is at any moment.
