Business supplies and services: Customer portal for workwear suppliers
A customer portal for workwear suppliers where customers manage ordering permissions per role, staff see their clothing allowance and reorders stay within what was agreed.
What customers of workwear suppliers want to see.
After the first delivery, workwear suppliers start receiving reorders: a new starter, a worn-out jacket, an extra polo. They arrive by email from different people at the same customer, and nobody knows whether the person ordering is entitled to it. Has an engineer already used this year's allowance, may a receptionist order a softshell, who approves? The supplier phones the contact person, who does not know either. Meanwhile one department orders outside the agreed range, and at invoicing it turns out the budget has already been exceeded. Nobody holds the overview.

From invitation to approval.
Set permissions per role
The customer defines per role which items may be ordered and how many per period, or which allowance is available. Per department or location they name a person who approves orders. Staff or managers log in and see only what falls within their permissions.
Show allowance and history
An employee or manager sees what has already been delivered, what is still outstanding and how much allowance is left. Sizes from earlier deliveries are ready to use, so a reorder does not turn into a sizing question again. If someone wants a different size, the portal indicates it is an exchange or new size.
Order and approve
An order within permissions goes straight to the supplier. One outside them, such as an extra jacket above the allowance, goes first to the named approver. Only after approval does it reach you. The decision stays with the customer and the supplier does not have to act as budget keeper.
Less email, the same records.
Customers currently order by email, through a general web shop or through a purchasing system with its own approval steps. The portal connects to your order management and can pass on an order with a purchase order number if the customer requires it. The customer owns the staff list, permissions and approvals; you own the range, prices and delivery status. That keeps it clear who may change what.
Staff order themselves or via a manager
Self-ordering relieves managers and gives staff control, but needs clear permissions and an allowance that is actually monitored. Ordering through a manager keeps more control but puts the work on a few people. The portal can be set differently per customer or even per department.
Allowance in money or in items
An allowance in money gives freedom, but staff sometimes choose expensive items beyond what is practical. An allowance in items per article is tighter but less flexible. A combination, such as a fixed pack plus a free amount for extras, suits many organisations. The portal lets you set either form per role.
One portal for all sites or per site
A large company with several branches often wants to see centrally what is ordered but have approval and delivery per location. The portal can combine a central administrator with approvers per site, serving both needs without separate environments. Reports can then be viewed centrally as well as per location.
What customers find in the portal.
For each customer the portal has permissions per role, an allowance per employee, history with known sizes and ordering with approval by a named person ready to go. We run through two cases together before the customer logs in: an ordinary reorder of a polo within the allowance, and a new employee in a role that does not yet exist in the portal. Ordering with a purchase order number and reports per department for the customer are switched on per customer.

Explore pricing and optionsWho at the customer manages permissions and allowances?
An administrator the customer appoints, usually someone from purchasing or facilities. They can adjust roles, permissions and approvers. You can look over their shoulder and help set it up, but the choices are the customer's. Changes are kept with name and date.
What happens when an employee leaves?
The administrator marks the employee as inactive. The portal then shows which clothing was issued, so the customer can decide whether it should be returned. Open orders for that employee are flagged before they go into production.
Can staff see what their colleagues order?
No, unless you and the customer set it up that way. An employee sees their own allowance and history. A manager sees their team, and the administrator sees everything within the organisation. Personal data such as sizes stays within a small circle.
Does the portal work on a phone for staff without a computer?
Yes. Many people in construction, care or logistics have no computer of their own. The portal works on a phone, and logging in can be done with a personal link, so there is no password to remember and a reorder can be placed during a break.
