Business supplies and services: Digital job cards for window display companies

Digital job cards for window display companies: a store card per branch with placement plan, materials list and placement photo, so head office sees what is really in the window.

Digital job cards for window display companies. A digital job card that tracks preparation, execution and handover. Example with demonstration data.

What a job card for window display companies should hold.

After an install night, the retailer's head office wants to know whether the campaign looks right everywhere. Window display companies then send a folder of photos with no clear link to each branch, or a crew lead drops a few shots into the group chat. What is missing is a per store comparison between what was planned and what was installed. A display that did not fit and was left out, a vinyl that arrived damaged or a store where the lighting failed stays unknown until an area manager walks past. Stylists have no time for long forms at night, so recording must be quick and still capture everything that deviates.

Prepare the store card

For each branch the project lead creates a store card with the placement plan, a reference image of the intended layout, the materials list and practical details such as the goods entrance and who will open up that night. The crew lead opens the card on their phone on arrival and has everything they need in one place.

Record placement and deviations

After the changeover the stylist takes a placement photo from a fixed spot outside the store, so images are comparable across branches. If something differs from the plan, they choose a reason from a short list: does not fit, damaged, missing or refused by store. Adding a note is possible but not required.

Sign off and review

The store manager or night guard signs the card on the stylist's screen. The next morning the project lead sees, per branch, the photo next to the reference image along with any reported deviations. They decide whether a store needs a return visit or the deviation is acceptable, and that decision stays on the card.

No more paper and loose photos.

Many display studios currently work with a printed placement pack per round and photos gathered from phones afterwards. The store card replaces the pack, but the placement plan can keep the layout your designers use today, as an image or document attached to the card. Photos are linked to the branch straight away rather than sitting in someone's personal camera roll. The retailer owns the campaign guidelines; you manage placement photos and deviations until they go into the client report.

One photo or a fixed set

One placement photo from outside is quick and usually enough for head office. For complex layouts or windows seen from several sides, a retailer may also want detail shots. The store card can define per window type which images are required, so a stylist on a simple changeover does not spend longer than needed.

Work offline or always connected

In basements, shopping centres and behind thick display glass, signal is often poor. A job card that only works online leaves the stylist waiting. So the card is loaded onto the device beforehand and photos are sent once a connection returns. The project lead can still see which cards have not synced yet.

Store sign-off or crew only

Not every store has someone available at night to sign off, and a guard with no knowledge of the shop adds little with a signature. An alternative is for the crew lead to sign and the store manager to receive a message the next morning with the photo and the option to comment the same day.

What goes on the job card.

Per store the crew gets a card with the placement plan and material list, takes a placement photo with fixed deviation reasons and signs off on screen. That is ready for the first changeover night. Beforehand we walk through an ordinary night together, and a store where a display does not fit and a different arrangement is chosen. A report per campaign for the retailer and a return visit that goes straight into the planning when the project lead decides on one can be switched on later.

Do stylists need to install an app?

Not necessarily. The store card works in a phone browser and can be loaded before the round. An installed app is more comfortable with poor signal, because photos upload more reliably in the background. For freelancers who only join occasionally, the browser version is usually enough.

How do we make placement photos comparable?

For each window type you set a viewpoint, for example square to the glass at a fixed distance, and the card shows an example image with that framing. The stylist sees it before taking the photo, so head office can line up images from different branches and spot deviations quickly.

What if materials get damaged on the way?

The stylist reports it on the store card with the reason damaged and a photo of the piece. That piece is flagged in inventory, and the project lead sees which branch now has an incomplete layout. They can then arrange a replacement part and a return visit straight away.

Does the retailer get access to every photo?

The retailer receives the approved placement photos per branch, usually through a report or the customer portal. Internal images, such as photos of damage or of the store's stockroom, stay with you unless the project lead deliberately shares them. Communication stays businesslike and still complete.
