Business supplies and services: Customer portal for window display companies

A customer portal for window display companies where retailers approve campaign visuals, sign off branches and review placement photos, without everything running through scattered emails.

Customer portal for window display companies. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of window display companies want to see.

On the retailer's side, a window campaign involves many people: a marketing manager approving the concept, a visual merchandiser watching the details, and area and store managers arranging access. Window display companies send design versions by email, get feedback from different people on different versions and are never quite sure at the end which render was approved. After installation, head office asks for photos of every store, which then have to be gathered again. A portal needs to capture those decision points: which version is approved, by whom, and which store has confirmed the installation.

Define roles at the retailer

Per campaign you set who sees what. The marketing manager approves the concept, the visual merchandiser can comment on details and a store manager only sees their own branch with date and instructions. Store managers are spared design discussions, and an area manager cannot approve a concept by accident.

Present versions and images

Each design appears as a version with a date and a short note on what changed. Comments are placed on the render itself, next to the element they concern. After the install night, each branch's placement photos appear beside the approved design so the retailer can compare for themselves.

Tie approval to the work

An approval in the portal is a recorded action with a name and timestamp, not a loose email. Production of the display only starts once the concept is approved; a store only goes onto the loading list once it confirms the date. Comments after installation become a task for the project lead.

Less email, the same records.

Retailers often use their agency's file sharing environment and sometimes an intranet for store instructions. The portal does not replace those but becomes the place where approvals and installation are recorded. Campaign visuals from the agency can come in through a link. You own the design versions and placement photos; the retailer owns the approvals and branch contacts. If head office wants the photos on its own intranet, the portal can export them per campaign.

Single approval or one per branch

For a standard set across a chain, one approval from head office is enough. For flagship stores or unusual windows, an area manager may want a say. The portal supports both: a main approval for the concept and, optionally, a branch approval for variants that depart from the standard.

Comments on the image or in text

Comments in an email or document cause confusion about which element is meant. A marker on the render itself is more precise but takes reviewers a moment to get used to. Short reactions can go in a text box; for design changes the portal asks for a marker, so the designer knows exactly what is meant.

Access for stores or head office only

Bringing store managers into the portal gives direct confirmation of access times but means more accounts. Letting only head office log in is tidier, but store questions then go through an intermediary. A light option is a personal link per store with no account, which lets the manager confirm only their own date.

What customers find in the portal.

Campaigns with design versions, comments on the render, a recorded approval and after installation the placement photos per branch: the portal has that ready from the start. Together we replay an ordinary campaign where the concept is approved in two rounds, and a situation where a regional manager excludes a branch. The store link for confirming the installation night and a photo export for the retailer's intranet can be added later.

Does everyone at the retailer need an account?

Only those who approve or review designs get an account. Store managers can confirm their own branch through a personal link without a password. That keeps the number of accounts small and makes it clear who has the authority to approve a campaign.

Can we look back at earlier design versions?

Yes. Every version is kept with its comments and publication date. If questions arise later about why an element disappeared, you can find the version and the comment that led to the change. Only the approved version goes into production.

How do we stop the retailer's agency from seeing everything?

The agency gets a role with access to the visuals it supplies and, if needed, the design versions. Internal costings, crew allocation and store contacts stay out of view. Per campaign you agree with the retailer which parties take part and what they are allowed to do.

Do placement photos stay available after the campaign?

That is agreed per retailer. Many chains find photos from earlier campaigns useful as a reference for the next changeover in the same store. You can keep them per branch and archive or delete them after an agreed period, depending on what the retailer wants.
