Business supplies and services: Quotation software for window display companies
Quotation software for window display companies that prices display components, installation rounds and night premiums per branch, so a retailer sees exactly what they are approving.
Where quotes for window display companies get stuck.
A quote for a window campaign has two layers that tend to get tangled. There are the materials: plinths, displays, vinyl, lighting and sometimes mannequins, partly new and partly from your own store. And there is the installation round: which branches on which night, the travel time between stores and who removes the old campaign. When all of that lives in one spreadsheet, a change in store numbers updates the materials but not the round, or the other way around. Window display companies want to see per campaign which assumptions were made, such as reusing a display or access before opening, so any later discussion is about something concrete.

From enquiry to signed quote.
Break the campaign into components
The quote starts from the campaign and splits it into display components per window type. A narrow window gets a different set from a deep corner window. Each component shows whether it is made new, drawn from stock or supplied by the retailer, so it is immediately clear how much of the price is materials and how much is labour.
Price the installation round
Branches are grouped into rounds by region and access time. For each round the quote calculates fitting time per window, travel time in between and any premium for night or weekend work. If a store falls outside every sensible round, it gets its own line so the retailer can decide whether that branch takes part.
Proposal with recorded assumptions
The proposal states the assumption behind each line: size from survey or as supplied, reuse of existing plinths, removal by you or by the store. The retailer approves the whole or per branch. Anything that changes after approval becomes an addendum referring back to the original line.
Alongside your calculations and price lists.
Display studios often price in their own spreadsheet and lay out the quote in a word processor or the quoting module of their accounting package. We carry over the calculation rules from that spreadsheet, such as fitting time per window type and night rates, and make them manageable for the project lead. Material prices come from your own purchase list. The approved proposal feeds planning and invoicing, so the branch list and prices are never retyped.
Price per branch or per campaign
A per branch price is clear for a retailer who wants to add or drop stores. A campaign price is easier to communicate but hides that a remote store costs far more than one on the route. A combination often works best: a campaign price for the standard set and a branch price for installation, with awkward stores named separately.
New materials or reuse from storage
Reusing plinths, displays and mannequins makes a campaign cheaper, but only if the pieces still look good and are free in time. The quote shows per component which choice was made and what the difference is, so the retailer can deliberately opt for a new element where the look demands it.
Include removal or keep it separate
Stripping and removing the previous campaign is easily forgotten or thrown in for free. Yet it takes time in store and space in the van. Making removal its own line, with a choice between disposal, return to the retailer or storage, shows what it really involves.
What we prepare in the quotes.
In the quoting software you build a campaign from decor elements per window type, group branches into installation rounds and create a quote with assumptions that is approved online per branch. That is how we set it up. Together we recalculate an ordinary seasonal changeover, and a campaign where the retailer drops some of the stores halfway. Passing on to the planning and a library of standard sets as a starting point for new campaigns can be switched on later.

Explore pricing and optionsCan the quote handle different window sizes per store?
Yes. Each branch has a window type with its own dimensions and set, and the quote adds up components and fitting time per type. If a store deviates, say with an extra side wall, you add a supplementary line to that branch rather than changing the whole type.
How do we see the gap between quoted and actual costs?
Because every line carries an assumption, after the campaign you can check each one. If fitting took longer because a store granted access late, that traces back to that branch. You then refine the calculation rules for the next campaign based on real rounds.
Can retailers approve only some of the branches?
They can. The proposal allows approval per branch and recalculates totals based on what has been accepted. If a round ends up half empty as a result, the project lead sees it and can adjust travel or grouping before the final confirmation goes out.
Do we have to throw away our current pricing sheet?
No. We use it as the source for the calculation rules and check the new quote by pricing a recent campaign in both. When the figures match, you know the logic has been carried over correctly. Only then do you switch, and the sheet stays available for reference.
