Business supplies and services: Scheduling software for window display companies
Scheduling software for window display companies that aligns styling crews, store access and changeover dates, so every branch gets the right crew on the right night.
What makes scheduling hard for window display companies.
Scheduling at a window display company revolves around narrow slots when a store is accessible. A department store lets the crew in after closing, a unit in a shopping centre only before the centre opens, and an independent shop wants the work done in daytime behind a screen. Meanwhile an entire chain has to change over on the same date. Stylists with a good eye are scarce, and not every crew can handle work at height or heavy displays. When those windows, skills and vans sit in separate lists, a crew gets sent to a store that stays shut that night, or the materials arrive too late.

From job to confirmed appointment.
Set the effort per window
Each branch gets an estimate of what the job needs: how many stylists, whether work at height is involved, how long the changeover takes and which materials must go along. The estimate comes from the quote or from previous changeovers at the same store, so the planner schedules real effort rather than a standard block.
Match crews to access slots
The board shows per night which stores are accessible and which crews are available with the right skills. The planner drags branches onto a crew and sees immediately whether the route fits within the slots. If a crew would overrun the last store's slot, that branch is highlighted and can be moved to another night.
Store confirms the night
Once a round is settled, every store manager receives a confirmation with date, time slot and the crew lead's name. They confirm or say it does not work, for instance because of a stocktake. Only after confirmation does the branch become final and its materials go onto that van's loading list.
Alongside your calendar and your team.
Display studios often plan in a shared calendar or a large spreadsheet per campaign, with the stylists in a messaging group. Freelance stylists usually pass on their availability by message. We bring that availability into one overview without asking freelancers to learn a heavy system. The retailer remains owner of opening hours and access rules per branch; you own the crew allocation and the loading list. The calendar your team looks at now can stay as a view.
Fixed crews or built per night
Fixed crews know each other and work faster, but make the schedule rigid when a stylist drops out. Building crews per night is flexible but requires the planner to know everyone's skills. Many studios work with a fixed crew lead and a rotating team, and the board supports exactly that: the lead is fixed, the people around them shift.
Whole chain in one night or staggered
Retailers often want every store showing the new campaign at once. That takes many crews at the same time and leaves little slack if something goes wrong. Staggering over several nights is calmer but means some stores lag a few days behind. The schedule shows what each option demands in people and vans, so the retailer can decide.
Planner schedules, crew lead orders
The planner decides which stores fall into a round. The order within it is best left to the crew lead, who knows where you can unload and which manager wants to leave early. The system suggests a sequence, the crew lead can change it, and the planner sees the adjusted route.
What we set up in the schedule.
At the start the planning board is ready with deployment per branch, crews and access windows, and confirmation by the store manager. Together we replay an ordinary campaign changeover across a region, and a night when a store refuses access at the last moment. Then the planning goes live. A loading list from the stock, so material is ready per van, and an availability link for freelance stylists can be enabled later.

Explore pricing and optionsHow do we schedule freelancers who can only do some nights?
Freelancers get their own link where they mark which nights they are available. That availability appears on the board alongside the permanent team. When the planner books a freelancer, they receive a confirmation with the stores and the meeting point, so nobody has to scroll back through a group chat.
What happens when a store cancels at the last minute?
The branch returns to the list of open stores with the reason attached. The planner sees which crews have room on a later night in the same region. Materials for that store stay flagged on the loading list, so the crew does not unload them and they do not go missing in the warehouse.
Can the schedule account for work at height or heavy displays?
Yes. For each branch you record which skills or equipment are needed, such as a mobile scaffold or someone allowed to operate a cherry picker. The board only accepts crews that meet those needs. If the skill is missing on a given night, the planner sees it before the store is confirmed.
Do store managers see the whole chain's schedule?
No. A store manager only sees their own branch: date, time slot, crew lead and what is expected of the store, such as an empty window and lighting that can be switched off. The retailer's head office can view the overall picture across branches, without crew names or internal notes.
