Transport and delivery: Digital job cards for vehicle transporters
Digital job cards for vehicle transporters with a vehicle record for every car: condition photos, mileage, keys and documents logged at collection and delivery.
What a job card for vehicle transporters should hold.
When collecting a car, the driver has to record its condition: scratches, dents, stone chips, kerbed wheels, the mileage and anything left inside. At many vehicle transporters this happens on a paper form with a car outline marked with crosses, or with loose photos on a phone. After delivery the recipient reports a scratch, and someone has to work out whether it was already there. The paper form is illegible and the photos are not linked to the car. Keys and registration documents also go missing at times, because nobody recorded who handed over what and when.

Open the vehicle record at collection
For each car the driver opens a vehicle record with the details from the order. They check the registration, note the mileage and take photos in a fixed sequence: front, rear, both sides, wheels and interior. Existing damage is marked on a car outline with a close-up attached so it can be found again later.
Load and log along the way
After loading, the driver confirms the car is secured and notes its position on the truck. Keys and documents received are ticked off. If something happens on the road, such as a car shifting or a stone hitting the windscreen, they log it straight away on that car's record.
Deliver with the recipient
At delivery, the driver takes the same photo sequence and walks round the car with the recipient. New damage is marked and compared with the collection photos. The recipient signs on screen for receipt, including keys and documents. The record is closed and goes to the planner and the client.
No more paper and loose photos.
Drivers currently use paper handover forms, sometimes a consignment note, and their own phone for photos. We put the vehicle record on the phone or tablet the driver already has. Car details come from the enquiry or the dealer's order. Leasing companies and auctions sometimes have their own inspection format; we check whether we can follow it. The driver owns the record, and the client receives the result.
Outline with marks or photos only
A car outline with damage points marked gives an overview at a glance. Photos show the damage itself. Together they are strongest: the mark shows where, the photo proves what it looked like. Photos alone, without marks, leave the recipient searching through dozens of images to find one scratch.
Own format or the client's
A leasing company or auction may require inspections in their own layout, with their damage codes. Your own format is quicker for the driver. Where a large client insists on a fixed format, the vehicle record can follow that layout for their cars and your own format for everything else.
Signature or photos when nobody is there
Delivering to a private customer or dealer usually means someone signs. Delivering to a compound outside opening hours does not. Then photos with timestamps and the location of the key safe have to do. Agree per client what applies, so there is no argument later about the status of the handover.

For each car the driver has a vehicle record with a fixed photo series, damage sketch, mileage and a log of keys and papers, at collection and delivery. At the start we draw up that photo series with you. We go through an ordinary run from dealer to private customer, and a car where a new scratch is reported on delivery. The report format of large clients and sharing the record automatically can be added.

Explore pricing and optionsHow long does the inspection take a driver?
It depends on the car and its damage, but a fixed photo sequence means the driver forgets nothing and does not have to think about what to shoot. The screen shows which image is needed at each step. That is quicker than filling in a paper form and taking photos separately.
What if the recipient disputes damage?
The vehicle record shows collection and delivery photos of the same spot side by side, with timestamps. That shows whether the damage was already there. If it was not, it is also clear when it arose, which helps when dealing with the insurer.
Can we log keys and documents?
Yes. At collection the driver ticks off which keys, registration papers and other documents they received. At delivery the recipient confirms receiving them. If something goes missing, you can see at which step it was last present.
Does the vehicle record work without a connection?
Yes. Car parks and compounds do not always have coverage. The record works offline and sends photos and details once a connection returns. The planner sees the update a little later, but nothing recorded is lost.
