Transport and delivery: Scheduling software for vehicle transporters
Scheduling software for vehicle transporters that matches carriers, recovery trucks and loading order, so the car that comes off first goes on last.
What makes scheduling hard for vehicle transporters.
A car carrier has a limited number of positions across an upper and lower deck, and not every car fits every spot. A tall van cannot go on the top deck, a non-running car has to be winched to a position the winch can reach, and the car delivered first must sit at the back. Planners at vehicle transporters keep this in their heads or on a whiteboard. When an urgent run is added in the morning or a car is not ready at collection, the loading order has to be rethought. A mistake means unloading cars at the roadside to get at another one, which costs time and raises the risk of damage.

Record what each vehicle needs
Each car shows the space and help it requires: length and height, running or not, and whether it may go on the top deck. Pickup and delivery addresses and any time windows, such as dealer opening hours, are listed too. The planner sees what every car needs before assigning it to a truck.
Fill trucks by loading order
The planner chooses which cars travel together and in what order they are collected and delivered. The system shows which positions each car can take and warns when the sequence does not work, for example a car due off halfway that sits behind two others. Dedicated runs with a recovery truck are planned separately.
Process changes and confirm
If a car drops out or one is added, scheduling shows which positions free up and whether the order still works. The planner adjusts and confirms. Clients only get a collection time once the run is fixed, so a dealer never hears someone is coming while the truck is already full.
Alongside your calendar and your team.
Runs come in through enquiries, framework agreements with dealers and leasing companies, or orders from auction systems. We import them into one list without retyping. Drivers use a phone or tablet, and the run plan with loading order goes there. Truck details, such as the number of positions and deck heights, are recorded once. The planner decides the final allocation and order; the client remains responsible for a correct pickup address and time window.
Fixed routes or open planning
Some vehicle transporters run fixed routes, for instance daily between an importer's depot and a region full of dealers. That makes planning predictable. Others plan every run from scratch based on what comes in. A mix of fixed routes with open positions for one-off runs uses the truck well and leaves room for urgent jobs.
Full truck or on-time departure
Waiting until a carrier is full makes each run pay, but sometimes leaves cars standing for days. Leaving on time with empty positions keeps clients happy but costs margin. You can agree per client which matters more. Scheduling shows how many positions are free and how long cars have been waiting.
Planner sets order or system suggests
A suggested loading order based on addresses helps, but the planner knows a certain dealer only opens in the afternoon or that a street is too narrow for a loaded trailer. The system suggests and warns about conflicts; the planner decides. Their adjustments are kept for future reference.

Cars are scheduled on transporters with positions per deck, the loading order is visible, conflicts trigger a warning and same-day changes are handled straight away. We record your trucks and their deck layout beforehand. Trial days: an ordinary day with a full truck to dealers, and a day on which a non-running car is added at the last moment. Fixed routes, collection windows per address and reading jobs from dealer systems are switched on later.

Explore pricing and optionsDoes scheduling account for deck heights?
Yes. Each truck has its positions recorded with maximum height and length. A car too tall for the top deck cannot be scheduled there. The driver therefore does not discover during loading that a van will not fit.
What if a car is not ready at collection?
The driver reports it from the site. The planner sees which cars now need loading differently and can decide to wait, move on and come back later, or shift the car to another run. Waiting time is recorded for invoicing.
Can we see non-running cars separately?
Yes. Cars needing a winch or recovery truck are flagged in the list. The planner sees immediately whether the chosen truck has that equipment and whether the car ends up in a position the winch can reach.
Does the driver get the loading order on their phone?
Yes. The driver sees the run with pickup and delivery addresses in order, and each car's position on the truck. If the planner changes something, the updated run comes through. The driver does not need to call to ask which car goes where.
What often connects to this.
- Digital job cards for vehicle transportersDigital job cards for vehicle transporters with a vehicle record for every car: condition photos, mileage, keys and documents logged at collection and delivery.
- Website for vehicle transportersA website for vehicle transporters that explains which service fits each kind of vehicle and destination, including what changes when a car cannot drive itself.
- Enquiry form for vehicle transportersAn enquiry form for vehicle transporters that asks for vehicle dimensions, running condition, pickup address and keys, so the planner knows in advance whether a winch or recovery truck is needed.
