Transport and delivery: Customer portal for vehicle transporters
A customer portal for vehicle transporters where dealers, leasing companies and private customers track collection status and retrieve handover documents with photos.
What customers of vehicle transporters want to see.
A dealer having ten cars collected wants to know for each one whether it is on its way. A leasing company wants the handover report with photos straight in its own file. A private buyer wonders when the car they bought online will be at the door. At vehicle transporters these questions arrive by phone and email to the planner. Handover documents are emailed afterwards, sometimes as an unreadable scan. Anyone wanting to report damage does not know where to find the collection photos. Every question costs the planner time needed for tomorrow's loading order.

Set up access per client
Each client sees only their own vehicles. Dealers and leasing companies can have several users, for example per branch or department. Private customers get a link per run. A buyer who purchased a car from a dealer can, if the dealer wishes, get access to that one vehicle only, without seeing anything else.
Show collection status per vehicle
Each car shows its status: registered, scheduled, collected, in transit or delivered. Once the driver closes the collection record, the mileage and vehicle record become available. If a car was not ready or is collected later, the client sees that along with the reason given by the driver.
Documents and responses per car
After delivery, the handover report, photos and recipient's signature appear in the portal. If the client has a question or wants to report damage, they do so on that car. The report reaches the planner with the photos attached, so the conversation starts from the facts rather than from memory.
Less email, the same records.
Statuses come from scheduling, vehicle records from the driver's job card and vehicle details from the enquiry. The portal shows them without copying them. Leasing companies and auctions with their own systems can receive an export or get the data there directly. The client owns their vehicle data; the transporter owns the status and the handover record. Who adds which users is agreed per client.
Account or link per run
Dealers and leasing companies with many runs benefit from an account with an overview. Private customers with one car do not want to create an account. A personal link per run with status and documents is enough for them. Both draw on the same data, so nothing has to be maintained twice.
Report immediately or after review
Sharing the handover report immediately is transparent. Sometimes the planner wants to check that the photos are complete first, especially when damage is visible. A short review prevents a client receiving an incomplete report, but should not take so long that the client ends up phoning anyway.
Letting the buyer follow along
A dealer sending a car to a buyer sometimes wants the buyer to follow its status, which saves the dealer phone calls. At the same time, the dealer does not want the buyer to see all their runs. Restricted access per vehicle solves that, as long as the dealer decides who gets it.

Clients see the collection status per vehicle, the vehicle record after collection and the handover report after delivery, and report a question or damage themselves. We set up access per client and go through a dealer having five trade-ins collected and a private customer having one car delivered. If that works without phone calls, the portal opens. Limited access for buyers and exports for leasing companies are switched on when needed.

Explore pricing and optionsCan a dealer see all their cars for one week?
Yes. A dealer sees an overview of all their vehicles with status, filterable by date or branch. They can click through to details and documents per car. Everything they now gather through several phone calls sits on one screen.
When is the handover report available?
As soon as the driver closes the vehicle record at delivery and has a connection, or after a review if you set it up that way. The report contains collection and delivery photos, the mileage and the signature. It stays available in the portal afterwards.
How does a client report damage?
On the car in question in the portal, with a description and their own photos if they have them. The report reaches the planner together with the driver's record. Handling starts with collection and delivery photos side by side rather than with an argument.
Can leasing companies receive reports automatically?
Yes. If a leasing company has a system that can receive reports, the software sends them there directly or as a regular export. Otherwise they download them per car or per period from the portal. Start with the portal and switch on automatic sending for the client who gains the most time from it.
