Manufacturing and processing: Enquiry form for powder coaters

An enquiry form for powder coaters that asks for material, dimensions, masking and the finish required, so estimating can start right away instead of waiting for photos.

Enquiry form for powder coaters. An enquiry form that collects the required information step by step. Example with demonstration data.

What makes an enquiry complete for powder coaters.

An enquiry to a powder coater often starts with a phone photo and the question of what it will cost. Nobody can price from that. Is it steel or aluminium, is there an old coat on it, how long is the largest part, which holes and threads must stay bare? The estimator sends questions back, the customer answers half of them and the request sits idle for days. Larger trade enquiries arrive as a parts list without surface areas, while private customers leave out whether the item will stand outdoors. For powder coaters it is exactly that mix of material, size and masking that decides whether the job fits a colour batch and how much pretreatment it needs.

From form to assessed enquiry.

Questions that follow the material

The form opens with the material and the condition it arrives in: bare, previously coated, painted or galvanised. Depending on that answer, the questions that matter follow, such as whether blasting is needed or an old coat has to come off. Someone with a bicycle frame therefore sees different questions from a steel fabricator.

Capture sizes and masking

The customer enters the largest dimension, the weight per item and the quantity, and marks on a photo or drawing which surfaces, holes and threads must stay bare. If a measurement that decides whether the part fits the oven is missing, the form cannot be sent without a note explaining why.

Complete when it reaches estimating

The request arrives with all answers, photos and drawings together, with anything still uncertain flagged, such as an unknown old coat. The estimator sees on one screen what is settled and what needs checking, and can ask the customer for that one missing detail instead of starting the conversation again.

Enquiries in one place, not the inbox.

Powder coaters receive enquiries by phone, email, a generic contact form and sometimes a parts list exported from a regular customer's system. The new form replaces the contact form and delivers its data to the mailbox or order system you already use. Regular trade customers can upload their parts list as a file. The enquiry data belongs to you; the customer only sees what they filled in themselves, plus a confirmation that it was received.

A short form or a full set of questions

A short form lowers the barrier but produces requests the estimator has to chase. A full questionnaire puts people off when every question applies to everyone. A form that branches on material and customer type stays short for those with little to tell you and digs deeper where the work is complex.

Require photos or a dimensioned drawing

For loose items, a photo with a tape measure alongside often says enough. For batches or structural work, a dimensioned drawing is more reliable, especially for surface area. The form can decide per type of request what is mandatory, so a private customer is never asked for a drawing they simply do not have.

Customer marks masking or asks for advice

Some customers know exactly which surfaces must stay bare; others have never thought about it. Let them indicate what they know and offer a tick box for advice. The shop floor then knows which parts need extra attention before any tape or plugs go in, and nobody discovers it at the booth.

Which questions the form asks.

Ready at the start: the branching form for the three most common requests, an upload field for photos and drawings, and the handover to the office mailbox or order system. Together we send a simple request for a steel garden set through it, and an exception: an aluminium part with an old coating, threads and a special colour. Uploading parts lists for regular customers and passing the enquiry to the quote calculation you switch on afterwards.

Won't private customers give up if the form asks too much?

That mainly happens when the questions do not apply to them. That is why the form branches: someone who indicates it is a single item only gets the questions needed for a price indication. Detailed questions about batches and parts lists are shown to trade customers only.

Can a customer say they don't know what coating is on it?

Yes. The condition question includes an option for unknown. The request is then flagged, so the estimator allows for possible extra stripping or blasting and discusses it with the customer before a price goes out.

What happens to photos and drawings after the enquiry?

They stay attached to the request and travel on to the quote and later the job card. The sprayer looks at the same photo with marked masking as the estimator did, and nobody has to dig attachments out of old emails.

Does this also work for regular customers with their own parts lists?

Yes. Regular customers can upload a parts list instead of entering every item separately. We agree per customer which columns are needed, such as material, size and colour, so the list can go straight into estimating without retyping.
