Manufacturing and processing: Quotation software for powder coaters
Quotation software for powder coaters that brings surface area, pretreatment, masking and colour choice into one calculation, with the assumptions visible to the customer.
Where quotes for powder coaters get stuck.
Powder coaters often price per square metre or per item, but what a part really costs depends on more than that. A railing with lots of balusters has a small surface area yet takes ages to hang. A part with an old coat has to be stripped first, a casting needs preheating to avoid outgassing, and masking can take longer than the spraying itself. In a spreadsheet those assumptions disappear into a single total. When the part turns up differently than expected, nobody can see what the price was based on. A quote therefore needs to show which surface area, pretreatment, colour and masking were assumed.

Choose the basis for each part
For every part the estimator decides whether to price on surface area, per item or per hanging position. Surface area works well for sheet metal; for balusters and small components it usually does not. The chosen basis is shown on each line, so colleagues can follow the calculation and arrive at the same figure.
Surcharges from fixed rules
Blasting, stripping, primer, masking, special colours and preheating are separate lines with fixed calculation rules that you manage yourselves. The estimator ticks whatever applies based on the enquiry. A surcharge cannot be added without a reason, so it is always clear afterwards why the price came out higher.
A proposal that states its assumptions
The quote names the material and condition as assumed, the colour and gloss level, and which surfaces will be masked. Once the customer accepts, those agreements are fixed. If the part arrives differently, it is immediately clear which assumption was wrong, and a supplementary price can be proposed for just that difference.
Alongside your calculations and price lists.
At many powder coaters, estimating happens in a spreadsheet that one person understands, with prices that live in someone's head. Quotes go out as a document attached to an email. We take the calculation rules from that spreadsheet and make them manageable, so a second estimator reaches the same price. Accepted quotes can flow into the order system or accounting package you already have. The rates remain yours and are only changed by whoever you appoint.
Price per square metre or per item
Pricing per square metre is transparent for sheet metal and large flat surfaces. For small parts, balusters and sections, a unit price or a price per hanging position reflects the work more fairly. Many powder coaters combine both, and the software has to show on each line which basis was used.
Fixed quote or recalculation for unknown substrates
With an old coat nobody can identify, you can quote a generous fixed price or a base price with recalculation for stripping. The first gives the customer certainty; the second stops you working at a loss. State in the quote which of the two applies and what triggers the extra charge.
Special colours priced in or shown separately
A colour outside your regular batches means a colour change, cleaning time and often a minimum powder purchase. You can fold that into the unit price or show it as its own line. A separate line helps customers see why a standard colour is cheaper, and it nudges their choice without a debate.

Costing is ready for the parts you quote most often, with a basis per line, fixed surcharges and a quote that shows its assumptions. Together we go through an ordinary quote for coated balcony railings, and an exception: castings with an unknown old coating in a special colour. If both come out tidy and explainable, it goes live. Passing accepted quotes on to planning and invoicing you switch on when it suits you.

Explore pricing and optionsCan the surface area be taken from a drawing automatically?
Sometimes. For simple sheet parts, a dimension or drawing can be enough to calculate the area. For complex assemblies it remains the estimator's judgement. The software shows how the area was arrived at, so a colleague can check it.
What if the part arrives differently from what the quote says?
Then you see at goods-in which assumption is wrong, for example that there is an old coat after all. From the quote you create a supplementary proposal covering only the difference. The customer accepts that separately, so the original agreement stays recognisable.
Can we give regular customers their own price list?
Yes. You can record different rates or fixed unit prices per customer. The calculation uses them automatically, while surcharges such as masking or special colours keep following the general rules unless you have agreed something different there too.
Who is allowed to change rates and surcharges?
That is up to you. Usually it is the owner or the lead estimator. Changes are stored with a date, so an old quote keeps its original rates and you can always see which price applied at which moment.
What often connects to this.
- Enquiry form for powder coatersAn enquiry form for powder coaters that asks for material, dimensions, masking and the finish required, so estimating can start right away instead of waiting for photos.
- Digital job cards for powder coatersDigital job cards for powder coaters: one card per order with pretreatment, masking, colour and curing instructions, plus feedback on film thickness and defects.
- Invoicing software for powder coatersInvoicing software for powder coaters: coated surface area, pretreatment, masking and assigned rework from the job card come together on an invoice the customer recognises and that goes out with a payment link.
