Manufacturing and processing: AI enquiry assistant for powder coaters
An AI enquiry assistant for powder coaters that answers questions about colour references, finishes and preparation from approved information and passes uncertain cases to a member of staff.
Which questions powder coaters keep getting.
Powder coaters get a lot of questions that sound alike but differ in the detail. Is RAL such and such in fine texture the same as in smooth? Can a metallic stand outdoors? Why does the colour look different from the screen? Can I bring in a wheel that still has a bit of old paint on it? Some answers are on the website; others only the shop floor knows. Someone in the office answers them between estimates, and now and then something gets promised that the shop cannot deliver. An assistant can pick up the first round of questions, provided it only says what you have approved and refers properly when a real colour judgement or unusual material is involved.

Select and approve sources
The assistant only uses content you point it to: the pages on materials, colours and finishes, the delivery guidelines and a list of frequent questions the shop floor has reviewed. Anything not in those sources it leaves alone, even if it might seem like common knowledge.
Understand and scope the question
The assistant recognises whether a question concerns colour, material, preparation or scheduling. For a general question, such as the difference between gloss and matt, it answers from the sources. When someone asks whether their particular part is suitable, it explains which information is needed to judge that.
Answer or hand over
If the assistant cannot answer with confidence, for instance a colour comparison or an unknown old coat, it says so plainly and gathers the details for a member of staff. That person receives the question along with the conversation and can reply on substance straight away.
On your own information, with a person behind it.
The assistant relies on what you already have: the website, the delivery guidelines, the colour list and often a document of standard answers used in the office. Whatever is missing we write down together with the shop floor. Handovers arrive in the mailbox or enquiry system you already use. You decide which sources count and can update them yourselves; a changed text immediately becomes the basis for new answers.
Information only or price indications too
An assistant that only explains is safe and useful. Giving price indications sounds convenient, but a price depends on material, condition and masking that the assistant cannot assess. Better to have it point people to the enquiry form, so the estimator sets the price and nothing is quoted that later turns out wrong.
On the website or in messaging too
On the website the assistant handles questions from people who are still exploring. Messages through a chat app often come with photos and specific questions that a person needs to judge. Start on the website, where questions are more general, and then see whether other channels make sense.
Show answers directly or review first
At the start you can choose to have answers to new kinds of question reviewed by the office first. That takes time but gives insight into what the assistant says. Once the answers prove sound, you can limit that review to questions where the assistant itself is unsure.

From the approved texts, the assistant answers questions about colours, finishes, materials and supplying parts, and hands over to a colleague when in doubt. Before customers see it, we ask an ordinary question together about the difference between gloss and matt, and an exception: someone who wants to know whether their galvanised part with rust spots can go outside in a metallic. Shop floor experience as an extra source you add once you have checked it.

Explore pricing and optionsCan the assistant judge a colour from a photo?
No, and it should not try. Colour in a photo depends on light and screen. The assistant explains why a test panel is needed and can prepare a sample request for a member of staff to pick up.
What happens when it doesn't know?
It says it is not sure and offers to pass the question on. It asks for contact details and the relevant specifics, so a member of staff does not have to start from scratch. It does not guess.
Can we see which questions people ask?
Yes. You can see the conversations and which questions were handed over. Often a few questions turn out to come up again and again. Those are better explained on the website, which in turn improves the assistant, so the overview doubles as a list of things to fix.
Does it answer questions about lead times?
Only in general terms, based on what you have approved on the subject. For a specific order it refers to the customer portal or the office, because the schedule changes daily and it has no way of judging it.
