What a job card for pond builders should hold.

Each build has the pond plan on its job card: outline, depth zones, bottom drain and skimmer positions, filter location and the route of every pipe and cable. Each component shows the planned material. The crew always sees the latest version, even if the designer changed something yesterday afternoon.
Record what goes underground
Before a pipe is covered or the liner filled, the crew takes photos with a tape measure in shot and marks deviations on the plan. If a pipe was rerouted around a tree root, that goes on the plan. The result is a record of what was actually built, not what was intended.

At handover the crew runs a checklist: water level measured, filter running, no leaks at fittings, pump and UV connected. Hours, materials used and extra work are recorded. The work planner sees what is finished and what needs to be confirmed with the customer before invoicing.

Crews currently work from paper drawings, photos in a group chat and hours on a scrap of paper. The design comes from a drawing program or was made by hand. The job card shows that design on the phone or tablet the crew already uses. The designer owns the plan; the crew owns the record of what was built. Hours go to the timesheet records, materials to inventory and extra work to invoicing.
Follow the design or adapt on site
A design is made for a garden nobody has dug up yet. On site, roots, cables or different soil may call for a change. Can the crew leader decide, or must the designer approve? Many companies let the crew make small changes and discuss larger ones, with both recorded on the job card.
Photos or an updated drawing
Photos with a tape measure are quick and show exactly what is there. An updated drawing is clearer for a technician who comes later. The job card can do both: photos during the work, and the designer then adds deviations to the drawing that goes into the customer file.
Record materials per item or per build
A filter and a pump have a serial number and warranty, so you record those per item. Fittings and pipe are counted per build. That way you can show which pump sits where in a warranty claim, without the crew scanning every connector. Recording stays light.
