Outdoor spaces and grounds: Customer portal for pond builders
A customer portal for pond builders where customers approve design choices, follow progress on the build, and find their maintenance agreements and filter details.
What customers of pond builders want to see.
Customers of pond builders make many choices: edging in stone or timber, liner colour, where the waterfall goes, planting. Those choices are discussed in conversations and emails and end up scattered, so the crew sometimes lays edging the customer had since changed their mind about. After the build, the customer no longer remembers which filter they have, when the UV lamp is due or when the autumn service is booked. Each question comes in by phone, and the office has to dig through folders for the right installation.

Access per customer and pond
Each customer sees their own pond, or several in the case of a business or holiday park. During the build the design and choices take centre stage; afterwards the portal shifts to maintenance and installation details. The company decides who can see which information.
Show choices and progress
Each choice shows the option the customer picked, with a photo or example, and the date they approved it. During the build the customer sees which step is done and which comes next. After handover the pond plan, filter and pump appear in the portal with their manuals.
Link maintenance and questions
The customer sees when the next maintenance visit is due and can propose another date. Questions are asked against their installation, so the office knows at once which filter and pump are involved. A fault can be reported with a photo or short video of what is happening.
Less email, the same records.
Designs, quotes and installation details currently sit in a drawing program, a quoting tool and folders of manuals. The portal shows what is recorded there and only adds the customer's choices and responses. Filter and pump manuals come from the manufacturer and are linked to the model at the customer's pond. Invoices stay in the accounting package, and the company decides which documents each customer sees.
Choices in the portal or at a visit
A customer choosing calmly at home between edging options makes a more considered decision than someone deciding on the doorstep. Still, many want to see stone and liner in real life. The portal can show options and record approval, while the tricky choices happen at a visit or in the display garden.
Maintenance as a plan or per visit
A maintenance plan brings predictable work and customers who do not need to get in touch. Booking per visit suits customers who do a lot themselves. The portal supports both: with a plan the company schedules, with single visits the customer requests. Either way it is recorded against the pond itself.
Just their pond or tips as well
A portal with only installation details is easy to follow. Seasonal guidance such as fitting a leaf net or starting the filter can help, provided it matches the customer's system. General tips that are wrong for their filter only cause confusion, so guidance is always tied to the filter type.

At the start the client portal holds design choices with approval, progress during the build and, afterwards, the pond plan, filter and pump details and maintenance agreements. We try it out together with an ordinary ornamental pond and with a customer who wants to switch edging halfway through the build. The portal begins with new builds; existing customers get access once their installation is recorded at a service. Fault reports per installation and seasonal guidance per filter type can be switched on later.

Explore pricing and optionsCan a customer see when the UV lamp needs replacing?
Yes, once the replacement interval is recorded for that lamp type. The portal shows the date it was fitted and when replacement is recommended under your own arrangement. The customer can request a replacement or have it done at the next service.
What if a customer wants to reverse a design choice?
As long as the step has not been carried out, the customer can submit a new choice. The work planner sees it and judges whether it affects price or schedule. If the edging is already laid, it becomes an extra work request that is discussed first.
Can customers share photos of their pond?
Yes. With a question or fault the customer can add photos or a short video, for instance of cloudy water or a noisy pump. That helps the office judge whether a technician needs to come out or whether an explanation will do.
Who gets access when a house is sold?
The installation belongs to the address. On a sale, the previous owner can hand over access, or the company grants the new resident access on request. The pond's history is kept, which is valuable for a new owner.
