Outdoor spaces and grounds: Scheduling software for pond builders
Scheduling software for pond builders that puts the excavation crew, liner and filter deliveries and the installation day in the right order, leaving room for rain and groundwater.
What makes scheduling hard for pond builders.
Building a pond is a chain of steps that wait on each other. For pond builders, first the crew digs with a mini digger, then the hole is shaped, underlay and liner go in, the pond is filled and the installer connects filter, pump and pipework. A made-to-measure liner is ordered and has to be there on the day the hole is ready. Rain turns a hole into mud, groundwater can halt the work and a soil lorry has to turn up on time. When digging overruns by a day, the installation day moves too, but the supplier and the customer often hear too late.

From job to confirmed appointment.
Set out each build's steps
For each accepted pond the planner records the steps: dig, remove soil, shape, lay liner, fill, connect filter and pipes, and finish. Each step shows who does it, how long it takes and what must be there, such as a digger, a soil lorry or the liner delivery.
Combine sequence and availability
The planner sees per day which crews, machines and installers are free. A step is only booked when the previous one can be done and materials are in. If the liner arrives later, the overview shows which steps move with it and which crew can take on other work in between.
Weather and confirmation
In heavy rain the planner marks digging as conditional and picks indoor work such as filter assembly in the workshop. The customer hears the new date once that choice is fixed. The liner supplier and the soil lorry get the change too, so nobody turns up for nothing.
Alongside your calendar and your team.
Pond builders often plan with a shared calendar and a list of orders. Made-to-measure liners and filters are ordered from a wholesaler; mini diggers are sometimes hired. Scheduling takes accepted quotes and tracks per build which orders are running and when they are due. Suppliers keep their own systems; the planner records the promised delivery dates and stays in charge of the sequence. In the first season it runs alongside the existing calendar.
One crew start to finish or specialists
A crew that digs, lays liner and connects the filter knows the pond from start to finish and loses no time on handovers. Specialists per step work faster in their own part but need tighter scheduling. The software supports both and shows where the handover points are, so nothing falls between two teams.
Liner in stock or ordered per project
Ordering liner to size per project avoids offcuts but ties the schedule to lead times. Rolls in stock give flexibility but mean cutting on site and handling seams or overlap properly. Scheduling shows which builds are waiting on an order, so a delay is visible before the crew is booked.
Tell the customer in advance or on the day
A customer who knows in advance which day the digger arrives and when the garden is usable again can move the car and keep the dog inside. Telling them on the day gives the planner more freedom but creates surprises. Most companies confirm each step ahead of time.

For every build the steps are ready with crews, machines and deliveries, and the customer gets a confirmation per step. Together we replay an ordinary ornamental pond and a build where groundwater rises during digging and the liner day has to move. For the first season the schedule can run beside the existing diary. Tracking hired machines, seasonal maintenance visits and job cards that come out of the schedule can be switched on once the rhythm is there.

Explore pricing and optionsCan maintenance visits go in the same schedule?
Yes. Maintenance visits such as a spring start-up and an autumn service get their own appointment type. In spring, when many customers want their filters started at once, you see how those visits sit alongside ongoing builds and which crews are free.
What if the liner does not arrive on time?
The expected delivery date sits with the build. If it slips, the planner updates it and sees which steps move. The digging crew can then go on to the next job sooner, so the hole is not left open for days while everyone waits for liner.
Do crews see their schedule on their phone?
Yes. Crews see their day with address, the step they are doing, what must be ready and the customer's contact details. They do not change the schedule themselves, but can report that a step is taking longer. The planner works that into the following days.
Does scheduling account for fish during a renovation?
For a renovation you can add a step for moving fish to a temporary tank, with the day they can go back. The planner sees that the pond must not stand empty too long, and the fish are not forgotten if the work overruns.
