Outdoor spaces and grounds: Quotation software for pond builders
Quotation software for pond builders that works out excavation, soil removal, liner and filter capacity per pond, with assumptions about ground and water volume in the proposal.
Where quotes for pond builders get stuck.
A pond quote is made of parts that affect each other. For pond builders, depth decides how many cubic metres of soil come out, soil type decides how hard the digging is, and the garden decides whether that soil can stay as a mound or must be taken away. Dimensions set the liner size with overlap; water volume and fish set the filter. Change one measurement and liner, filter, pump and removal all need recalculating. In a spreadsheet that often goes wrong, and the customer only sees a total without knowing it assumed sandy soil free of rubble.

From enquiry to signed quote.
Dimensions and type as the base
The designer enters length, width, depth and zones such as a planting shelf and a deep section. The software works out water volume, the amount of soil to dig and the liner size with overlap and underlay. When a measurement changes, those parts recalculate straight away, so no figure is left behind.
Choose filtration and pipework
Based on volume and fish, the software suggests filters from your own range. The designer picks one, adds pump, bottom drain, skimmer and pipes, and enters the distance from pond to filter. Electrical work is listed separately, so it is clear who handles the connection and what it includes.
Record the proposal with assumptions
The quote lists the assumptions: soil type, digger access, volume of soil to remove and whether there is power at the filter position. The customer accepts that version. If digging turns up rubble or groundwater, it is clear which assumption did not hold and what the options are.
Alongside your calculations and price lists.
Pond builders often quote from a spreadsheet with their own formulas, or in the quoting module of their accounting package. Prices for liner, filters and pumps come from suppliers and change regularly. The quoting software uses its own item list that the owner updates or imports from a supplier price list. When a filter price changes, new quotes use it while sent ones stay as they were. Customers and invoices remain in the accounting package.
Remove the soil or use it in the garden
Excavated soil is often the biggest unknown. Some customers want a raised bed or mound beside the pond; others want it all gone. The quote shows both options with their effect on the garden and the cost, so the customer makes a conscious choice before the digger arrives on the drive.
Filter at minimum or with headroom
A filter sized exactly to the current pond and fish costs less, but struggles once the fish grow or more are added. A filter with headroom costs more at the build and avoids a replacement later. The software shows both, along with the stocking assumptions behind each, so the choice is informed.
Fixed price or provisional sums for the ground
Nobody knows for sure what is in the ground until digging starts. You can give a fixed price with a clear assumption, or include a provisional sum for rubble, roots or groundwater. Both work, provided the customer knows beforehand what happens if the soil turns out differently.

From the dimensions, the quote works out water volume, excavation, liner size and a filter suggestion, with assumptions and options for soil removal. The rules for liner overlap and filter sizing are set up with you at the start. Then we price an ordinary ornamental pond in an accessible garden together, and a koi pond in a garden reached only through a narrow alley. Updating supplier prices and an acceptance that lands straight in the schedule are added whenever you want.

Explore pricing and optionsCan the quote include a drawing of the pond?
Yes. A simple plan with zones and depths can go with the quote, showing where the filter and pipes run. Customers find it much easier to picture how the pond sits in the garden. A full design remains the designer's work.
How is the liner size worked out?
The software uses length and width plus twice the depth and an overlap for the edge, as pond builders are used to. You set the overlap you work with. For irregular shapes the designer can adjust the size by hand before the quote goes out.
What if the customer wants a bigger pond afterwards?
The designer changes the dimensions and excavation, liner, filter and removal recalculate. The customer gets a new version of the quote with the difference from the previous one visible, so it stays clear why the price has moved.
Can we quote maintenance at the same time?
Yes. A maintenance arrangement, such as a spring start-up and an autumn service, can be an optional line in the quote. The customer decides whether to take it. On acceptance it carries through to the customer portal and next season's schedule.
