Events and rental: Digital job cards for mobile bar operators
Digital job cards for mobile bar operators that give the bar crew the service plan, the package and the venue agreements, and bring the course of the evening back to the office.
What a job card for mobile bar operators should hold.
On the night itself, the bar lead at mobile bar operators needs to know a lot that is in the quote but never reaches them. Can guests still have beer after dinner, or only soft drinks and coffee? Is the cocktail a welcome drink or part of the package? What time was agreed, and which of the organisers may decide to extend? Today that sits on a printed note or in a message from the planner. Afterwards, consumption has to be counted, the actual end time noted and breakage recorded, and that happens at two in the morning in an empty hall on the back of a beer mat.

Prepare the service plan
For each event the bar lead gets a job card with the package per part of the day, the drinks menu, the agreed end time and the name of the person who may decide on the client's behalf. It also lists how many bottles and kegs went along, where the bar stands and what happens to empty crates. The crew reads it in the van on the way.
Log how the evening goes
During the event the bar lead records moments that matter later: when serving started, an extension with the name of who approved it, a switch of package after dinner. For consumption based events the crew counts open stock at fixed moments. At the end you know not only a total but also when the drinking happened.
Close out and hand over
Afterwards the crew counts what is left, records breakage and missing glasses, and asks the client to confirm the end time and any extension. Those details go back to the office as the basis for the invoice and stock. If a signature is missing, the job card stays open and the planner sees it.
No more paper and loose photos.
Bar crews often work from a printed running order, a paper tally and photos of the cold room at the end of the night. The job card can run on a phone or tablet that already travels to events. Details from the quote stay with the office: the bar lead can read them but not change them. What the crew supplies, such as consumption, end time and breakage, only becomes final after checking by whoever prepares the invoice. Everyone knows who may change which information.
Count hourly or only at the end
Counting only at the end is quickest but says nothing about when people drank most. Counting at a few fixed moments takes the crew a little longer and shows the pattern, which helps when the package changes halfway. For consumption based events, counting per part of the day is often the fairest basis.
Verbal extension or recorded approval
Extensions are often agreed with a nod by someone who will not be paying the bill. Having the decision maker confirm on the job card avoids disputes at invoicing. The bar lead knows in advance who may approve, so the enthusiastic uncle at the bar does not get to decide.
Paper backup or digital only
At outdoor venues the signal sometimes drops. A job card that keeps working offline and syncs later usually makes a paper backup unnecessary. Some crews still prefer a printed summary if the bar lead is not comfortable with screens. What matters is that the count ends up in one place.

The job card shows package, drinks menu, end time and decision maker, logs extensions and counts during the event and closes out with a signature. Together we walk through a quiet corporate party, and a wedding that runs an hour over and switches package halfway through. The count flowing on to invoice and stock is switched on once the bar lead is comfortable with the card.

Explore pricing and optionsDoes the job card work at a venue with no signal?
Yes. The job card is loaded onto the device beforehand and everything the crew enters is kept until a connection returns. The bar lead can see which details have not been sent yet, so nothing gets lost if someone leaves quickly after the event.
Can the organiser see the count on the spot?
If you want, the client signs a summary at the end with end time, extension and consumption. They see the same figures that go to the office. That keeps the invoice from being a surprise weeks later and gives the bar lead a moment to answer questions straight away.
How do we record breakage and missing glasses?
When packing up, the crew counts glassware by type and notes what is missing or broken. A photo of the crates can be added. Whether you charge for breakage follows from the agreements in the quote; the job card simply makes sure the count exists.
Does every bartender need their own account?
Not necessarily. The bar lead is responsible for the job card and can fill it in for the crew. If you want each bartender to confirm their own hours, they get access to their own shift only. You decide that per event or as a standing practice.
