Quotation software for mobile bar operators
Quotation software for mobile bar operators that works out staff hours, drinks volume and setup in one proposal, with the assumptions visible to the organiser.
What does this solution need to handle for mobile bar operators?
A quote from mobile bar operators rests on two estimates that easily drift apart: how many bartenders are needed and how much will be drunk. A warm summer evening with a young crowd produces different consumption from a business lunch. When quotes are built in a spreadsheet everyone fills in differently, the bartender count is sometimes a gut feeling, setup and breakdown get forgotten, and nobody can see which consumption assumption was used. When the guest count or duration changes, the sums start over and the organiser cannot see why the price moved.
From daily operations to working software.
Record assumptions for each event
Duration, guests per part of the day, package and venue are taken from the enquiry. You then pick a consumption profile, such as quiet corporate or lively party, with an expected number of drinks per guest per hour that you maintain yourselves. Each assumption stays visible on its own and nobody has to dig it out of a formula.
Calculate staffing and volume
Based on the busiest moment, the quote works out how many bartenders are needed and for how many hours, including setup, breakdown and travel. Drinks volume follows from the profile and the duration. For a consumption based package the volume is an estimate; for a fixed package it is the limit you price against.
Offer the proposal for approval
The organiser receives a proposal with the chosen setup, package, staffing and what happens if the party runs over. The assumptions are written in plain language. Approval happens in the same document; a change in guests or timing creates a new version that shows the difference from the previous one.
Connect with what you already use.
Bar companies often quote in a spreadsheet or the quoting module of their accounting package, with a separate drinks price list and a fixed hourly rate for staff. We use those prices and rates as the starting point you keep managing. Purchase prices come from your supplier agreements; consumption profiles are set by you based on experience. Once accepted, the quote moves on as a confirmed booking to scheduling and later to invoicing, so nobody enters amounts twice.
Fixed package or charge on consumption
A fixed price per guest gives the organiser certainty but puts the risk of a thirsty crowd on you. Charging actual consumption is fairer but makes the client's budget uncertain. Many bar operators offer both and show in the quote how the amounts compare for an average and a busy party.
Staff per guest or per peak
Working with a fixed ratio of guests to bartenders is easy to explain. Yet the busiest moment, such as the toast after the ceremony or the bar opening after dinner, decides whether the queue gets too long. The quote can show both, so the organiser understands why an extra bartender is needed at the reception.
Price overtime upfront or afterwards
Parties often run late. Agreeing a rate per extra half hour in advance tells the organiser where they stand and spares the bar a phone call at midnight. Settling afterwards feels easier for the client but invites disagreement if nothing was written down. The quote records whichever arrangement you choose.

Start with a scope you can verify.
The first part covers recording assumptions, calculating staffing and drinks volume, and the proposal with approval. We test it with an ordinary company party and with a wedding whose guest list grows considerably after acceptance. What follows once the basics hold up: refining consumption profiles based on what was actually poured, and passing an accepted quote on to scheduling and invoicing.

Explore pricing and optionsHow do we arrive at a reliable consumption profile?
Start with the estimate you already make in your head and record it per type of event. After each event, compare the estimated volume with what was actually used. The profile improves every season without anyone having to understand a complicated model.
Can the organiser compare options themselves?
Yes. You can offer the same quote with two packages or two durations. The organiser sees the differences side by side and picks one. The chosen option becomes the basis for the confirmation, while the other is kept in case they revisit their decision later.
What if the venue is unknown when we quote?
Then you quote with an assumption about travel and setup and state it as a condition. Once the venue is known, the quote recalculates those parts. The difference appears as a change from the previous version, which keeps the conversation about it short.
Are deposits and broken glass included?
If you charge them separately, they can appear as a line in the quote with a clear agreement, for example breakage above a certain amount charged afterwards. The organiser then knows in advance what happens when glasses break, and nobody has to explain it after the event.
