Events and rental: Scheduling software for mobile bar operators
Scheduling software for mobile bar operators that allocates bar crews, refrigeration and setups per event, so you only commit when people and cooling are genuinely available.
What makes scheduling hard for mobile bar operators.
In peak season mobile bar operators can have a wedding, a company party and a festival bar on the same Saturday. Only late does it turn out that the one refrigerated trailer is already promised elsewhere, or that the experienced bar leads are all at one venue while the biggest event runs on stand-ins. Bartenders are often freelancers who respond in a group chat, and who agreed to what is not recorded anywhere together. Travel and setup are underestimated too: a bar that must be ready at four means a crew leaving at one. Without an overview of people, cooling and bars per day, you accept events you cannot staff properly.

Define what each event needs
From the confirmed quote come the number of bartenders, whether a bar lead is required, which setup goes along and how much cooling the drinks volume calls for. Departure, setup and breakdown are added, so the crew's working block is longer than the party itself. That requirement is ready to allocate per event.
Assign people and cooling
The planner sees per day which bartenders are available, who has experience with cocktails or large crowds, and which cooling trailers and bars are still free. A clashing assignment, such as the same trailer at two venues, shows up immediately. Freelancers submit their availability in advance instead of reacting to a group message.
Confirm and handle changes
Each bartender receives a confirmation with address, departure time, dress code and the contact person at the venue. If someone cancels, the planner sees which shifts open up and who is still available. If the organiser changes the end time, it becomes clear which shifts get longer and who needs to confirm again.
Alongside your calendar and your team.
Scheduling today often happens in a shared calendar, a spreadsheet of names per weekend and a group chat where shifts are offered. Bartenders keep their own calendars; you own the bookings and the assignments. Availability can be entered on a simple phone screen and the final schedule shared with the same people. Cooling trailers and bars you rent rather than own are added as resources with their own availability, so a hired cold room counts in the schedule too.
Core team or freelancers only
A core team of bar leads ensures every event has someone keeping oversight, but those people need paying in quiet weeks too. Relying only on freelancers is flexible but turns every busy weekend into a puzzle. Whichever you choose, the schedule shows per event whether an experienced person is on it.
Own refrigeration or hire in
Your own cooling trailers are always available if you do not double book them, but they stand idle in winter. Hiring for busy days avoids investment but means reserving and collecting on time. Putting owned and hired cooling in the same schedule shows early enough on which dates you will fall short.
Planner assigns or bartenders choose
Letting bartenders sign up for open shifts is fast and gives them freedom, but the best people then pick the nicest events. When the planner assigns, experience can be spread fairly. A mix often works: bartenders submit availability and the planner assigns based on what each event needs.

Per event the requirements, assigning bartenders, setups and cooling and the confirmation to the crew are ready. Before going live we walk through a normal weekend with two parties together, and a Saturday on which a bartender drops out last minute and a cooling trailer breaks down. Sharing availability with freelancers and hours worked going along to the invoice can be switched on later.

Explore pricing and optionsCan bartenders submit their own availability?
Yes, through a simple phone screen where they mark per date whether they can work. The planner sees that availability alongside open shifts. Bartenders see their own confirmed shifts but not their colleagues' schedules, unless they are working the same event.
How do we schedule setup the day before?
Some events need the bar in place a day early, for instance in a marquee that closes early. Setup and breakdown then become separate blocks in the schedule with their own crew and vehicle. You can see that the trailer has already left on Friday.
Does travel time count in the shifts?
That is up to you. Travel appears as a separate part of the working block, so you see how long someone is really away. Whether you pay for it or pass it on to the organiser is an agreement you record; the schedule only makes the amount visible.
What if two events want the same bar?
The planner sees the clash as soon as the second event is confirmed. You can propose another setup or hold off on the quote. It prevents discovering on the day that the beautiful wooden bar only exists once.
