Events and rental: Customer portal for mobile bar operators

A customer portal for mobile bar operators where organisers find their drinks list, event agreements and open choices, and send changes through one place.

Customer portal for mobile bar operators. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of mobile bar operators want to see.

Months can pass between acceptance and the event for mobile bar operators, and a lot changes in that time. The organiser wants to adjust the cocktail menu, the guest list grows, the ceremony moves by an hour and the wedding planner emails a different arrival time than the couple. It is not always clear who has the latest version of the agreements. A week before the party someone sends a drinks list that does not match the package, and on the night the father of the bride asks for whisky that was never ordered. Without one place where the organiser sees what is settled, every change becomes another email thread.

From invitation to approval.

Set access per event

The organiser gets access to their own event, optionally together with a wedding planner or colleague who may follow along. Per person you decide whether they can only view or also submit choices. The bar company then knows which change came from whom, and the planner no longer has to guess who is in charge.

Show what has been agreed

The portal shows the chosen package, drinks list, timings per part of the day, setup and the arrangements for overtime and breakage. Anything still open, such as the final cocktail choice or the last guest count, is marked with a deadline. The organiser sees at a glance what is still expected of them.

Review requested changes

A change submitted by the organiser does not go straight into the agreements but arrives as a request. If it fits the package, you confirm it. If it costs more, you see that immediately and send an updated proposal. The organiser can follow the status of each request in the portal.

Less email, the same records.

Organisers currently receive the quote as an attachment, a drinks list by email and sometimes a running order from the wedding planner or venue. The portal shows what comes from your quoting and scheduling; you remain the owner of the agreements. Third party documents, such as the venue's house rules or the planner's timeline, can be added so the bar crew sees the same version. Messages and changes are stored with the event rather than in someone's personal inbox.

Fully open or choices only

You could show the organiser everything, including internal notes about the venue. It is usually better to show only what was agreed with them and what they still need to decide. Internal notes, such as an awkward loading area or a venue that often runs late, stay with the team.

Changes until the day or deadlines

Allowing changes until the last minute is friendly but causes trouble with purchasing and staffing. With a deadline per type of choice, earlier for special drinks and later for guest numbers, the organiser has room and the team stays in control. After the deadline, a change always goes through a conversation.

One or several contacts

At a wedding, the couple, the master of ceremonies and the planner all want to see what is happening. One decision maker with followers prevents conflicting requests. Corporate bookings often work the other way round: the event manager decides while finance wants to see invoice details. The portal supports both without letting everyone edit everything.

What customers find in the portal.

Per event the organiser gets access to package, drinks list and timings, and can submit change requests for you to review. Before going live we try an ordinary wedding together, and a party where the planner and the couple send conflicting changes within a day. Adding third party documents and a post-event summary with consumption and end time can be switched on later.

Can a wedding planner decide on behalf of the couple?

Yes, if the couple says so. You set per person who may submit choices and who only follows along. Requests from the planner are visible to the couple, so nobody is surprised by a change someone else made.

Do organisers see the invoice in the portal as well?

They can. After the event a summary appears with consumption, end time and any extension, followed by the invoice. The organiser sees how the amount was built up. If you prefer sending invoices only by email, the portal stays limited to agreements and choices.

What happens to choices after the deadline?

After the deadline the organiser sees that choice as settled. If they still want a change, they can submit a request that reaches you with a note that the deadline has passed. You decide whether it is still possible and on what terms.

Does the organiser need to create an account?

For most organisers, a personal link with an extra email check is enough. An account with a password is handy for corporate clients who book more often. Both give access only to their own event, and a link can be withdrawn once the party is over.
