Prepare the fit-out schedule
For each room the design team produces a fit-out schedule: every module with its position, every worktop with its cut-outs and every connection with its type and location. Each connection point states whether the fit-out company or the installer is responsible. The fitter opens the schedule on site and has the same information as the designer.
Record installation and changes
The fitter ticks off each module as placed, levelled and fixed, and records deviations with a photo and reason, such as a moved bench or an extra filler panel. A change affecting a connection point is reported straight to the design team, so the installer does not connect to the old position.
Check connections and handover
After hook-up the supervisor checks at each connection point that the tap works, delivers the right service and is correctly labelled. Each check is on the schedule with a name and timestamp. Anything not right becomes a snag item for the right party. At handover it is clear per room what is finished and tested.
No more paper and loose photos.
Drawings come from the design team's drawing program, module lists from the estimate and services drawings from the installer. The fit-out schedule combines them into an overview per room and refers to the source files rather than copying them. The fit-out company owns the schedule and the installation checks; the installer owns their connection work behind the furniture. Deviations go back to the design team so the drawing can be updated.
Drawing on site or just a list
A full drawing on the fitter's tablet gives the best picture, but is hard to read on a small screen. A list per module with position and connections is quicker to tick off. Many fit-out companies combine the two: the list as the working tool, the drawing as background when in doubt.
Installer on the same schedule or separate
If the installer ticks off their connections on the same schedule, every connection point shows at a glance whether everything is done. That requires an outside party to have access and take part. If the installer prefers their own system, the supervisor can copy the status across after a joint check.
Process changes at once or afterwards
Updating the drawing as soon as something changes on site keeps everything current, but keeps interrupting the designer. Processing afterwards from the site records is more efficient, but the installer may still be working from the old version. Changes that affect a connection point should always be reported straight away.
What goes on the job card.

Together we walk through an ordinary room in a new build, and a room where an island bench has to move because of a floor pit that was not on the drawing. Handover documents and invoicing of installed modules from the same schedule can be switched on later.

Only ticking off modules and recording deviations. That takes a few taps per module and a photo where needed. Everything else is already there. A fitter who prefers paper can print the schedule, but the supervisor then enters the records at the end of the day.
How do we see which connections have been tested?
Each connection point on the schedule shows whether it is connected, by whom, and whether it has been checked. A gas tap that is connected but not yet tested stays open. At handover you see per room how many connection points are still awaiting a check.
What if the client wants a change during installation?
The fitter records the request with a photo and the name of the person asking, but does not carry it out if it falls outside the contract. The project manager decides whether it is a variation and agrees it with the client. Only after approval does the change go on the schedule.
Does the schedule cover fume cupboards and safety cabinets?
Yes, they are included as modules with their own checkpoints, such as the connection to extraction or earthing. Extraction measurements carried out by a specialist party are attached to the module as a document. Facilities can find it later.
