Business supplies and services: Quotation software for laboratory fit-out companies
Quotation software for laboratory fit-out companies that prices furniture modules, worktop material, connection work and installation per room, with the assumptions about building condition and services work.
Where quotes for laboratory fit-out companies get stuck.
A quote at laboratory fit-out companies is made up of furniture, worktops, connection work and installation, and each part depends on something else. The worktop material is driven by the substances, the base units by the lab's storage policy, the connection work by who does what: does the fit-out company supply the service pillar with taps and pipework up to the connection point, or does the installer handle everything behind the furniture? Installation depends on access to the room and whether other trades are working at the same time. A quote with only a total per room leaves out all those assumptions, and the argument over variations starts with the first surprise on site.

From enquiry to signed quote.
Build rooms from modules
The quote is built per room from modules: wall benches, island benches, fume cupboards, tall cabinets, sink units and storage cabinets. Each module comes from the standard list with dimensions and prices, and non-standard sizes are flagged as bespoke. The client sees per room what will be installed and where bespoke work affects the price.
Separate worktops and connection work
Worktops are priced separately by material and length, with cut-outs for sinks and service outlets. Connection work is its own block: which taps and fittings, up to which point the fit-out company supplies and where the installer takes over. That boundary is stated explicitly, so it is clear later who was meant to do what.
Record installation and assumptions
Installation is priced per room, with assumptions about access, an empty room at the start, availability of a lift and the condition of floors and walls. The client accepts the proposal with those assumptions. If something is not right when work begins, it is immediately clear which assumption is affected.
Alongside your calculations and price lists.
Fit-out companies often work with an estimating program or spreadsheet holding modules and prices, worktop supplier price lists and a drawing program for the layout. The quotation software uses those module and price lists and links them to the rooms from the enquiry. An accepted proposal goes to project administration and design. The fit-out company manages prices and modules; the client confirms the assumptions; the installer provides their own quote for work behind the furniture.
Connection work in house or by the installer
Some fit-out companies supply the service pillar complete with pipework to the connection point, others only the furniture with prepared outlets. Doing it yourself gives one point of contact and less coordination, but needs your own qualified fitters. Leaving it to the installer is simpler, but turns the boundary between the two quotes into a source of dispute.
Fix the worktop material or offer options
You can propose one worktop material in the quote, or several as options with the difference in price and properties. Options help the client weigh resistance against budget, but make the quote longer. With a clear substance list, one proposal with a short note on why that material fits is often enough.
Quote per room or per building
Quoting per room makes it easy to drop or postpone a room. Per building is clearer for a buyer who wants one figure. The quote can be built per room and summarised per building, answering both needs without maintaining two documents. Changes to one room stay contained within its own section.
What we prepare in the quotes.
From the start the quoting software builds each room from modules, with worktops separate, connection work with a clear boundary, installation with assumptions and online approval. Together we recalculate an ordinary quote for a teaching lab, and a quote where one room drops out halfway and another gets an extra fume cupboard. Accepted modules that go straight onto work preparation's fit-out schedule can be switched on once you are ready.

Explore pricing and optionsCan we quote bespoke work alongside standard modules?
Yes. Bespoke items are included as a separate line with a description and their own price, and flagged so the design team knows a drawing is needed. The client sees in the proposal which part is standard and which bespoke, which helps when weighing up costs.
How do we fix the boundary with the installer?
For each type of connection the proposal states up to which point the fit-out company supplies, for example up to and including the tap in the service pillar or up to the outlet in the worktop. That boundary is shared with the installer too. At handover it is clear who is responsible for a leaking coupling.
What if site conditions differ from the assumptions?
Then the proposal shows which assumption does not hold, such as a floor that is not level or a room that is not yet clear. The project manager drafts an addition covering the extra work or extra installation day, and the client confirms it before the work goes ahead.
Can we quote before the substance list is known?
Yes, with a provisional worktop material and the assumption that it suits the substances to be used. That assumption is visible in the proposal. If the substance list arrives later and the material is not suitable, the proposal is revised before anything is ordered.
