Business supplies and services: Scheduling software for laboratory fit-out companies

Scheduling software for laboratory fit-out companies that plans installation crews around room access, the progress of other trades and the delivery of worktops and modules.

Scheduling software for laboratory fit-out companies. A schedule that compares resources and availability, then confirms an appointment. Example with demonstration data.

What makes scheduling hard for laboratory fit-out companies.

Installation at laboratory fit-out companies depends on things outside their control. A room is only free once the main contractor has laid the floor and the installer has brought pipework to the connection point. Worktops are made to measure after the survey and have their own lead time. In a lab that stays in use, a crew may only enter a room on agreed days, sometimes only after chemicals have been cleared out. If the schedule just assigns a crew to a project by the week, fitters end up at a locked door or waiting for a worktop that has not arrived.

Example
  1. 1

    Access and dependencies per room

    Done

Each room gets the date it becomes available and its conditions in the schedule: floor finished, pipework to the connection point, room empty and clean.

  2. 2

    Match delivery and crew

    In progress

For each room the planner sees whether modules and worktops arrive in time and which crew is available.

  3. 3

    Confirm and adjust

Once confirmed, the client receives the installation days per room, with the conditions that must be met on each day.

From job to confirmed appointment.

Access and dependencies per room

Each room gets the date it becomes available and its conditions in the schedule: floor finished, pipework to the connection point, room empty and clean. Those details come from the site coordinator or the lab manager. A room with an unconfirmed condition stays provisional and is not firmly scheduled.

Match delivery and crew

For each room the planner sees whether modules and worktops arrive in time and which crew is available. A worktop with a longer lead time shows up as a bottleneck. The planner only commits a crew once the room is free and the materials are there, so no days are lost to waiting.

Confirm and adjust

Once confirmed, the client receives the installation days per room, with the conditions that must be met on each day. If the site coordinator reports a room will be free later, the planner sees which crew is released and which other room or project can be brought forward.

Alongside your calendar and your team.

Fit-out companies often plan with a planning board or spreadsheet per crew and a construction programme supplied by the main contractor. The schedule reads projects and rooms from project administration and takes milestones from the construction programme where available. Worktop delivery dates come from purchasing. The fit-out company owns the installation schedule; the main contractor or site coordinator the construction programme; the lab manager access to rooms in use.

Fixed crew per project or flexible

A fixed crew per project knows the site and the client, which saves coordination. Deploying flexibly makes better use of capacity when rooms become free irregularly. Many fit-out companies keep a fixed supervisor per project and top up the crew with fitters deployed where needed, so knowledge of the site is retained.

Measure worktops before or after installation

Worktops can be ordered from the drawing, or only once the base units are in and measured exactly. Ordering early speeds up the project but is risky if walls are not square. Measuring after installation gives a perfect fit but means the crew visits twice. The choice depends on how certain the building dimensions are.

Plan per room or per floor

In a large building you can plan per floor so a crew works continuously. But if rooms on the same floor become free at different times, planning per room works better. The software shows both levels, so the planner can switch between the big picture and the detail of a single room.

What we set up in the schedule.

At the start the planning holds the rooms with access conditions, delivery of modules and worktops, and crew deployment. Together we replay an ordinary new build, and a renovation in a lab that stays in use, where a room is not free at the last moment. Notifications to clients and automatically taking over milestones from the construction schedule can be added later.

Can the site coordinator mark when a room is free?

Yes, with their own access the site coordinator can confirm the date and conditions per room. The planner sees that confirmation immediately. It no longer has to go through the project manager and email, and it is clear who released the room.

How do we schedule installation in a lab that is in use?

For each room the days on which the crew has access are recorded, with conditions such as a cleared bench or isolated services. The planner only schedules on those days. If the lab wants to move a day, the planner sees which other room can fill it.

What if a worktop arrives damaged?

The room gets an open item for the worktop with a new delivery date. The planner sees the room cannot be finished and can deploy the crew elsewhere in the meantime. After delivery, a short visit is scheduled to fit and connect the worktop.

Do fitters see their schedule on their phone?

Yes, fitters see per day the room, address, access instructions, site contact and which modules and worktops are ready. If the schedule changes, they get a notification. They are not left at a locked door and know who to report to.
