Business supplies and services: Customer portal for laboratory fit-out companies
A customer portal for laboratory fit-out companies where clients approve room plans, follow progress per room and find the handover documents after completion.
What customers of laboratory fit-out companies want to see.
A laboratory project has many people involved on the client side: a lab manager who must approve the layout, a facilities manager watching the timetable, a buyer who wants to know what has been delivered, and later a facilities team that needs to know which worktop material is installed and which parts belong to a cabinet. Laboratory fit-out companies email drawings, get comments back on an older version and are never quite sure which layout was finally approved. After handover the documents are scattered across inboxes, and years later someone from facilities calls to ask what material exactly was used and whether a base unit can still be ordered.

From invitation to approval.
Define people and roles
The client decides who gets access and what role they have: view, comment or approve a room plan. A lab manager can approve the layout of their own rooms while the facilities manager follows the whole project. Outside parties such as the architect can be added with read access.
Show room plans and progress
Each room shows the current room plan with the previous version beside it, so changes stand out. Comments are pinned to a spot on the drawing. After approval the installation schedule and progress per room appear: delivered, installed, connected, handed over. The client knows where the project stands without picking up the phone.
Bundle handover documents
At handover per room the documents land in the portal: the final drawing, the list of installed modules and materials, worktop care instructions, warranty terms and any fume cupboard test reports. Facilities staff can find them later by room and by module, even when the original project manager has long since moved on.
Less email, the same records.
Drawings come from the fit-out company's drawing program, progress from the fit-out schedule, documents from the project folder and from suppliers. The portal shows them against the right room without creating a second set of records. The client owns its users and approvals; the fit-out company owns the drawings and documents. After the project the portal stays available for reference, or the documents are handed over as a package to the client's facilities system.
Approve per room or all at once
Approval per room lets installation start as soon as the first rooms are settled, even while others are still under discussion. Approval all at once is clearer for a client with a single decision maker. On large projects with several lab managers, per room is almost always more practical.
Keep the portal or hand it over
You can leave the portal open after handover as a reference, or hand the documents to the client as a package. Leaving it open is convenient for facilities and gives the fit-out company a natural point of contact for extensions. Handing over suits clients who want everything in their own facilities system.
Show detailed progress or milestones only
Progress per module shows exactly what is happening, but can cause unease for a client who checks daily and spots a small delay. Milestones per room, such as installed and handed over, are calmer and enough for most clients. The detail remains available for those who need it.
What customers find in the portal.
In the portal clients get access with roles, room plans with versions and comments, approval per room, progress on milestones and the handover documents. Before they log in, we replay an ordinary approval of a teaching lab together, and a project where two lab managers disagree about where a fume cupboard goes in a shared room. Transferring documents to the client's facilities system can be switched on later.

Explore pricing and optionsCan a lab manager see only their own rooms?
Yes, access can be set per room. A lab manager sees and approves only their own rooms, while the facilities manager follows the whole project. Nobody has to wade through other departments' drawings, and it is clear who decides what.
What happens to comments on an outdated drawing?
An older version stays visible but is marked. A comment on it comes with a warning that a newer version exists. The designer still sees the comment and can judge whether it has been dealt with in the new version or still needs to be picked up.
Can facilities find out later which worktop is installed?
Yes, for every room and module the installed material is listed with the supplier's care instructions. If a worktop needs replacing or a cabinet needs adding, the information the fit-out company needs to supply the right part is there.
Can we put fume cupboard test reports in the portal?
Yes, whether produced by you or by a specialist party, they can be attached to the fume cupboard in the right room. At the next test the new report is added. Facilities then see the testing history for each cupboard.
