Business supplies and services: Enquiry form for workwear suppliers
An enquiry form for workwear suppliers that collects staff, roles, size sheet and logo placements, so a proposal is right before anyone tries anything on.
What makes an enquiry complete for workwear suppliers.
An enquiry to workwear suppliers often starts with an email: we want new clothing for our team, could you send a quote? Then follow weeks of back and forth. How many people, which roles, who wears which size, where does the logo go, is there a name on it? A size sheet arrives as a spreadsheet with columns in its own layout, sizes like large or long instead of real sizes, and no distinction between women's and men's fits. The logo comes as a low resolution image from an email signature. Every missing detail means another round, while the customer wants to know when everything will arrive.

From form to assessed enquiry.
Ask about organisation and roles
The form first asks about the organisation, the number of staff per role and where they work. For each role the customer indicates which clothing is needed, for example a softshell and polos for engineers and only polos for office staff. That gives a first outline of the packs before anyone is asked about sizes.
Size sheet in a fixed format
The size sheet is filled in or uploaded per employee in a fixed template, with name, role, women's or men's fit and size per garment. Unknown sizes may be left blank and are flagged for a fitting. The form checks whether the sizes exist in the chosen range and points out missing rows.
Record logo and placements
The logo is uploaded, ideally as a vector file. The customer chooses positions per garment, such as left chest, sleeve or back, and whether a name is added. The enquiry reaches the adviser with roles, size sheet, logo and placements together, ready to become a proposal.
Enquiries in one place, not the inbox.
Customers keep their staff list in an HR system or their own spreadsheet. The form accepts an export from it, as long as the columns are mapped to the template, so nobody retypes names. On your side the enquiry goes into the customer file or order management. The customer remains the owner of the staff data and decides who may see it; you use it only to assemble and deliver the packs.
Size sheet upfront or at the fitting
A size sheet upfront speeds up proposal and order, but staff often guess their size wrong, especially with a brand they do not know. A fitting gives certainty but costs a day. Filling in upfront with fitting samples for anyone unsure combines speed with fewer exchanges afterwards.
Names on garments or just the logo
Names on clothing are personal and appreciated in customer contact, but make a garment useless for a colleague. With high staff turnover, a logo alone is wiser. The form lets the customer choose per role, so reception gets names and a warehouse team does not. That also helps the stock kept ready for new starters.
One enquiry or per location
An organisation with several sites can do everything in one enquiry but often wants delivery and invoicing per location. So the form asks for the location of each employee, allowing packs to be sorted by address later without the customer having to specify it separately.

The enquiry form is ready with your roles, a size sheet in a fixed template with upload, logo upload with a choice of positions and the handover to an adviser. Together we run through an ordinary enquiry from an installation firm with three roles, and an organisation that sends a size sheet with its own columns, missing sizes and staff at different locations. Only when both arrive cleanly does the form go live. Reading exports from HR systems can be switched on later.

Explore pricing and optionsWhat if the customer has no sizes for their staff?
The sizes stay blank and the enquiry is flagged for a fitting or for sending fitting samples. A proposal can already be made based on roles and quantities. The final order only follows once the sizes are known.
How do we handle a low resolution logo?
The form recognises a small or blurry file and indicates that the logo needs converting before it can be embroidered or printed. This is included in the proposal as a separate step, so the customer knows why and what it involves.
Are we allowed to keep the customer's staff data?
Only what is needed for ordering and delivery, such as name, role, size and location. Agree with the customer how long that data is kept and who can see it. The form does not ask for anything unrelated to clothing.
Can a customer add new staff later?
Yes. An existing customer adds a new employee with role, size and location, and the pack for that role is suggested. There is no need for a new enquiry for every new colleague, and the existing logo and placements are reused automatically.
