Business supplies and services: Operations dashboard for workwear suppliers

An operations dashboard for workwear suppliers that shows exchange volume per clothing range, open orders per customer and branded stock, with the source behind every anomaly.

Operations dashboard for workwear suppliers. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures workwear suppliers really need.

Exchanges cost workwear suppliers a lot: processing returns, decorating again and sometimes an item that cannot come back. Yet where they come from often stays unclear. Is it a range that runs small, a customer whose size sheet is always estimated, or a fitting day that was rushed? An overview of open orders is missing too: which staff are still waiting for their pack, at which customer is it slipping and why? Branded stock that has been lying for ages is only discovered at a count. Without fixed definitions and connected sources, conversations about this mostly produce opinions.

Agree definitions

We set down what counts as an exchange: only a different size, or a different item too? How is the cause recorded, such as estimated size, range fits differently or decoration error? When is an order late? With those agreements everyone reads the dashboard the same way.

Connect orders, returns and stock

The dashboard reads deliveries, returns with their cause, size status from the job card and branded stock per customer. Every exchange is linked to an item, a range, a customer and the source of the size. That lets it show per range and per customer how often exchanges happen and why.

Follow anomalies to the source

When a range stands out, you click through to its exchanges and their causes. If it is mainly estimated sizes, a fitting day or better size guidance is the answer. If it is one range across all customers, a conversation with the wholesaler or a different range makes more sense.

Figures from your own work.

The data comes from what you already record: order management, job cards with size status, return records, stock and the accounting package. The dashboard adds no input of its own. Where data is missing, such as a return without a cause, it shows that instead of guessing. Each source keeps its own owner; the dashboard only manages the agreed definitions, so it stays a window on existing data rather than extra admin.

Exchange volume per range or per customer

Looking per range shows whether a product consistently fits differently than expected. Looking per customer shows whether sizing at that customer falls short. Both are needed, but starting per range often gives the quickest insight, because one change then helps many customers. The customer view follows once the range picture is clear.

Cause mandatory on returns or not

A mandatory cause on every return makes the dashboard valuable but takes time in return processing. A short pick list with a handful of causes is quick to fill in. Without a cause the dashboard gets stuck at counts and the conversation becomes guesswork. Whoever processes returns usually knows the cause already.

Share with the customer or keep internal

A customer with many exchanges can benefit from insight into the causes, for example that estimated sizes are often wrong. At the same time you do not want an overview read as an accusation. A summary per customer, discussed in a regular review, often works better than sharing the whole dashboard.

Which figures we put on the dashboard.

From the start the dashboard shows exchange volume per line and per customer with causes, open orders per customer with waiting time and branded stock that has not been used for a long time. We agree the definitions together. With an ordinary period of orders and returns we check the figures, and we look separately at a line that causes many exchanges at one customer but not at others. Workshop lead time overviews can be switched on later.

Can we see whether fitting days reduce exchanges?

Yes, if the job card records whether a size was fitted or estimated. The dashboard then compares exchange volume for fitted and estimated sizes. That gives evidence for advising customers to book a fitting day.

How do we see which orders are late?

The dashboard compares the promised delivery date with the actual or expected delivery. Orders running behind are shown with the reason, such as a size the wholesaler is delivering late or a pack still in the workshop.

Can we discuss branded stock with customers?

Yes. The dashboard shows per customer which branded items are in stock and for how long. That is a factual basis for a conversation about buy-back or adjusting customer stock, especially when a customer wants to change logo.

Do we have enough data to start now?

That depends on what is recorded with returns. If the cause is missing, we start with counts per range and add the cause to return processing. After a few weeks there is enough to see patterns.
