Business supplies and services: AI enquiry assistant for workwear suppliers

An AI enquiry assistant for workwear suppliers that helps staff with questions about size exchanges, washing instructions and their allowance, based on the arrangements approved for each customer.

AI enquiry assistant for workwear suppliers. An AI assistant that answers from approved sources or hands over to a colleague. Example with demonstration data.

Which questions workwear suppliers keep getting.

After a delivery, workwear suppliers get a wave of questions from staff. My trousers are too short, can I swap them? Can the softshell go in the dryer? How much allowance do I have left? These questions come by email, by phone or through the customer's contact person, who forwards them. The answer depends on arrangements that differ per customer: one allows a branded item to be exchanged within a set time, another only if it is unworn. An item with a name usually cannot come back. The office answers the same questions again and again, while a wrong answer about exchanges leads to returns that cannot be accepted.

Customer arrangements as the source

The assistant only uses information you have approved: exchange arrangements per customer, washing instructions per clothing range, explanations of size charts and how the allowance works. Anything not covered there, it does not answer. You keep track per customer of which arrangements apply and update them when they change.

Identify employee and item

The assistant asks which organisation the employee works for and which item it concerns. Through the portal it can see which item was delivered and whether it carries a logo or name. Based on that it picks the applicable arrangement and explains whether an exchange is possible and how.

Exchange request or handover

If an exchange is possible under the arrangement, the assistant helps submit an exchange request with the size wanted. If it falls outside the arrangement, or the assistant is unsure, it says so and passes the question to the office or the customer's contact person. It never promises an exchange that has not been approved.

On your own information, with a person behind it.

The assistant sits in the customer portal and optionally on the website. Exchange requests it creates reach your order management as a return with a new order. Delivery and allowance data come from the portal; the assistant does not change them. The customer owns the exchange arrangements and allowance, you own the washing instructions and size charts, and the employee owns their question and chosen size.

Exchange request direct or via approval

Letting an exchange request within the arrangement go through directly is quick for the employee. Some customers still want to approve first, for instance because exchanges affect the budget. The assistant follows the route agreed per customer, so nobody gets a promise behind the customer's back.

General size guidance or per range

Size charts differ by brand and range. General guidance helps little when an employee is torn between two sizes in a specific pair of trousers. Guidance per range, with a fit tip where useful, gives better answers but means you keep that information up to date. Start with the ranges exchanged most often.

Staff only or contact persons too

Staff mostly ask about their own clothing. Contact persons at the customer ask about delivery dates, invoices and quantities. An assistant serving both groups has to know who it is talking to and what it may share. Starting with staff is simpler and takes the most work off the office.

What the AI assistant may answer.

At the start the assistant receives your exchange arrangements per customer, washing instructions per line and the rules around the allowance, and helps an employee submit an exchange request within the arrangement. We check its answers together against an ordinary question about trousers that are too short and against an employee who wants to exchange a softshell with his name on the back for another size. Questions from contacts about deliveries can be added later.

Can the assistant approve an exchange outside the arrangement?

No. It only follows the arrangements recorded per customer. A request outside them is passed to the office or contact person with the conversation attached, so someone can decide deliberately. The employee is told the question has been passed on and to whom.

How does the assistant know which arrangements apply?

Because the employee logs in through the portal or states which organisation they work for. The assistant links them to that customer's arrangements. If the organisation is unknown, it only answers general questions and refers anything to do with exchanges or allowance.

Does the assistant advise on protective properties of clothing?

Only what is literally in the approved product information, such as washing instructions needed to preserve properties. Questions about whether a garment is suitable for a particular task are passed on, because they need an expert answer.

Can we see which questions come up most?

Yes. Questions are grouped by topic and by clothing range. If a range produces noticeably many sizing questions, that can be a reason to improve the size guidance or give that range extra attention at fittings.
