Business supplies and services: Inventory software for window display companies
Inventory software for window display companies that tracks display parts, mannequins and campaign materials by location, reservation and condition, so a seasonal set leaves complete.
Where stock drifts for window display companies.
A window display company has a warehouse full of reusable pieces: plinths in various sizes, mannequins with detachable arms and wigs, frames, lightboxes and props. Alongside them sit retailers' campaign materials: vinyls, posters and displays counted out per branch. What the list says is often not what is on the shelf. A plinth came back damaged, a mannequin is still in a store where the last campaign was never stripped, and a box of vinyls was packed for the wrong branch. Only at loading does it turn out a piece is missing. Display studios need to see what is present, what is reserved for a campaign and what is in good enough condition to use again.

Make pieces recognisable
Reusable pieces get a label with a code and photo, grouped by kind, so a warehouse hand does not confuse plinths of different sizes. Retailer campaign materials are registered per campaign and branch on arrival. Each item shows its warehouse location and condition: good, lightly damaged or in repair.
Reserve per campaign
Once a campaign is approved, the required pieces are reserved for the install nights. The system warns if an item is already booked for another campaign in the same period or is still sitting in a store. Warehouse staff pack each van according to the loading list and scan what leaves the building.
Returns and condition updates
After the changeover, pieces come back from the stores along with the stripped material of the previous campaign. Each one is scanned back in at unloading and given a condition. Damaged items go onto a repair list, retailer material is disposed of or stored as agreed, and stock once again matches what is really there.
Alongside your purchasing and suppliers.
Display studios often track their warehouse in a spreadsheet with photos in a separate folder, and retailer campaign materials on delivery notes. We start by counting the reusable pieces used most often and register the rest as they move. A simple label printer and a phone camera are enough for scanning. The retailer owns its campaign materials and decides what happens to them afterwards; you own the reusable pieces and their condition.
Label everything or only reusables
Labelling every vinyl sheet takes more time than it saves. Reusable pieces that serve several campaigns, such as mannequins and plinths, do benefit from their own code. Retailer materials can be registered per box and branch. That keeps the effort of recording in proportion to value and reuse.
Repair or replace
A lightly damaged plinth can often be resprayed, but that takes workshop time between campaigns. Replacing is faster but costs more. Keeping a repair history per piece shows which ones keep coming back, so you can decide on solid grounds when replacement makes more sense than another fix.
Store retailer material or dispose of it
Some retailers want material from a previous campaign returned or stored for next year. Others want it disposed of straight away. Storage takes space you might rather use for your own pieces. Per retailer you record the arrangement, who pays for transport back and whether storage is charged.
Which stock we record.
Reusable parts are registered with label, photo and condition, reserved per campaign with a warning for double use, and scanned on the way out and back in. That is how we set up the stock. Together we replay an ordinary seasonal changeover, and a campaign where a set of mannequins turns out to still be in a store. Campaign material per branch, the repair list for the workshop and the loading list from the planning can be switched on later.

Explore pricing and optionsWhere do we start if our warehouse has never been counted?
Start with the pieces that go out most often and cost most to replace, such as mannequins and large displays, and label those in one go. Register the rest when it is packed for a campaign or comes back. Stock then grows with use rather than needing a big count upfront.
Can we see which pieces are still in stores?
Yes. Any piece issued to a branch and not scanned back in shows as on loan to that store. Before a new campaign you can see which mannequins or displays must be collected first, and ask the store manager whether the previous layout is still complete.
Does this work for material the retailer has printed itself?
Yes. On arrival you register per campaign which boxes there are and how they are split across branches. If the delivery does not match the branch list, you see it before installation and can raise it with the retailer or printer. Responsibility for reprints stays with the retailer.
Do we need to buy dedicated scanners for this?
Not at first. A phone camera can read labels and is enough for most warehouses. For large returns after a campaign night, a dedicated scanner can be quicker. We assess that after a few changeover rounds, once it is clear where most time is lost.
