Construction and installation: Digital job cards for water softener installers
Digital job cards for water softener installers that record the connection diagram, unit number and hardness setting, so every future service visit knows exactly what is installed.
What a job card for water softener installers should hold.
After an installation a water softener installer often no longer knows exactly what was left behind. Which unit, with which serial number, what hardness was set, how does the drain run, was a bypass fitted? At the next service a different engineer stands at the meter cupboard and has to work it all out again. Paper job sheets usually say only 'softener fitted' and the hours. When a warranty claim or fault arises, the unit number is missing. Servicing is poorly recorded too: was the resin cleaned, which parts were replaced, was there a salt bridge? A job card has to record installation and servicing per unit, so the history stays with the unit.

Prepared on site
For an installation the engineer sees the chosen unit, the planned connection and the assumptions from the quote, such as distance to the drain. For servicing he sees the unit number, previous visits and what was done then. Practical notes such as access or a dog are included too.
Recording installation or service
At installation the engineer records the unit number, photographs the connection and sketches a simple connection diagram: where the bypass sits, where the drain runs. He notes the hardness setting. At a service visit he ticks off the checks and notes replaced parts and anything unusual.
Finishing with the customer
The customer sees a summary of what was done and signs. After an installation they get an explanation of topping up salt and using the bypass. Extra work not in the quote is shown separately with a reason. Everything is stored with the unit for the next visit.
No more paper and loose photos.
Water softener installers currently use paper job sheets or a simple app, with photos on the engineer's phone. The digital job card uses the quote and unit register as its source and adds the connection diagram, photos and settings. The manufacturer remains owner of warranty registration; the unit number on the job card makes that registration easier. The office manages unit data, the engineer the record of what he did.
Detailed diagram or photos only
A drawn connection diagram is clear but takes time. Photos of the connection are quick but not always obvious to a colleague. A combination of a few fixed photos and a simple diagram marking the key points, such as bypass and drain, works best in practice and is quick to read on the next visit.
Fixed checklist or free notes
A fixed checklist per maintenance package ensures nothing is skipped and makes visits comparable. Free notes capture details a list misses. A short list of the standard checks plus room for remarks gives both, without the engineer filling in a long form. The list can differ by package.
Customer sign-off on service visits
At installation a signature is standard. At a service visit the customer is sometimes out or short of time. Sign-off can be optional for servicing, with an email confirmation afterwards. It is still on record that the visit took place and what was done, and at a business a regular contact can sign instead.

What goes on the job card.
The job card is ready with preparation per job, unit number, connection diagram, photos and set hardness at installation, checks and parts at maintenance, and customer sign-off. Which checks belong to maintenance we agree together. We walk through an ordinary installation and a maintenance visit to a unit once fitted by another installer and not yet known. Putting parts from the job card straight onto the invoice can be switched on when you invoice from the software.

Explore pricing and optionsDoes the job card work in a cellar with no signal?
Yes. The job card is loaded in advance and works offline. Photos, unit number and checks are stored locally and sent once there is signal. Cellars and meter cupboards without reception are the rule rather than the exception in this work.
Can we register units we did not install ourselves?
Yes. On a first service visit the engineer records the unit with make, model, unit number and photos of the connection. From then on it sits in the register like any other unit. Its history starts at that first visit.
How does the next engineer see what was done before?
At every visit the job card shows the unit's history: installation, earlier service visits, replaced parts and remarks. The photos and connection diagram are there too. Nobody has to work out again how the installation is put together.
Can the customer find the job card later?
Yes, through a copy by email after the visit, or in the customer portal if you have one. The customer sees what was done, which unit is installed and when the next service is due. That also helps when selling the house or making a warranty claim.
