Construction and installation: Scheduling software for water softener installers
Scheduling software for water softener installers that combines installation visits and service rounds by area, with the right materials in the van and time that matches the connection work.
What makes scheduling hard for water softener installers.
Water softener installers schedule two kinds of work side by side: installations that can take half a day or a full day, and service visits that are short but numerous. Servicing is due roughly once a year, spread across addresses throughout the area. Installations depend on unit delivery and on the connection work: a simple fit or a new waste pipe. Planners try to fit servicing around installations without knowing how long an installation will really take. Engineers drive back and forth across the area, or arrive at a customer without the right connection kit. Scheduling has to look at installations and servicing together, by area and based on what the work demands.

From job to confirmed appointment.
Estimating the work
The accepted quote gives an estimated installation time based on unit and connection work. Service visits get a fixed duration per package. Each job lists the materials required: unit, connection kit, salt, replacement parts. For every day you can see what needs to go in the van.
Combining area and due dates
The planner sees per area which service visits are coming due and which installations need booking. Servicing is planned around installations so an engineer visits several addresses in the same neighbourhood. Only installations whose unit is in stock are offered as firm slots.
Appointment and reminder
The customer receives a proposed date and time window, and for an installation what needs to happen beforehand: clearing the meter cupboard, access to the drain. Servicing gets a reminder in advance. If the customer cannot make it, they pick another slot from the options released in the same round.
Alongside your calendar and your team.
Water softener installers often plan in a calendar, with service due dates in a spreadsheet or the planner's memory. The schedule reads installations from accepted quotes and service due dates from the unit register. Engineers' calendars can stay connected. Suppliers remain owners of their delivery confirmations; the planner copies the date over. Customer data stays in the system where it lives now, so no second customer list appears.
Servicing by due date or by area
Scheduling strictly by due date is fair to every customer but means a lot of driving. Scheduling by area, with some leeway around the due date, saves travel time and allows more visits per day. The system can watch the leeway per customer so nobody waits too long.
Customer chooses or planner proposes
Letting customers choose is convenient but can fragment routes. Having the planner propose keeps routes efficient but brings more rescheduling requests. A middle route: the customer chooses from a few slots the planner releases in a round already planned near them. Customers still get a say, and engineers are not sent zigzagging across the area.
Same engineers for installs and servicing
Using the same engineers for both keeps knowledge broad and days flexible. Separate engineers for installation and servicing make routes more predictable and allow specialisation. A small team often has to combine; as you grow, splitting can make scheduling simpler. Either way the schedule should show which engineer handles which kind of work and where days fill up.

What we set up in the schedule.
The schedule estimates installations by connection work and delivery and groups maintenance visits by region around the due date, with appointments and reminders for the customer. We record regions and intervals together. As a test we schedule an ordinary week with two installations and a maintenance round, and a unit that arrives late so an installation day frees up and has to be filled with maintenance. Route optimisation and material lists per day are added if you want them.

Explore pricing and optionsCan servicing be scheduled automatically?
The system can make suggestions based on due dates and area. The planner confirms or adjusts, and then the invitation goes to the customer. People stay in control of routes and exceptions, such as a customer who can only do Saturdays.
How do engineers know which materials to take?
For each day the schedule shows a list of materials for all jobs: units, connection kits, salt and parts. The engineer sees it before setting off. If something is out of stock, that is noted so it can still be collected.
What if an installation takes longer than planned?
The engineer reports the delay and the planner sees which later appointments are at risk. Service visits later in the day can move to another slot or a colleague. The customer is informed. The cause is recorded to improve estimates.
Can customers reschedule their service visit themselves?
Yes, within the slots the planner releases. The route stays efficient and the customer still has a choice. If they want something outside those options, a request goes to the planner, who looks for a suitable solution.
