Construction and installation: Customer portal for water softener installers
A customer portal for water softener installers where customers find their unit details, service agreements and visit reports, and can report a fault or order salt themselves.
What customers of water softener installers want to see.
Customers of water softener installers call with questions answered in their own file: when is the engineer coming again, which unit do I have, what does my maintenance package include, can I order salt? They may keep the invoice, but rarely the unit number or visit report. When they move, the new occupant does not even know a service agreement exists. The office searches emails and job sheets every time. Faults also come in by phone without unit details, so the engineer goes in unprepared. A portal has to let customers see their own unit details, appointments and reports, and report faults in a structured way.

From invitation to approval.
Access by address
Each customer gets access to the units at their address. A business with several sites can have multiple addresses under one account. When someone moves, access can be transferred to the new occupant, so servicing continues and the history stays with the unit.
Showing unit and appointments
For each unit the customer sees make, model, installation date, maintenance package and when the next visit is planned. Visit reports with replaced parts sit underneath. Operating instructions and salt advice are there too, so the customer does not need to call for the basics.
Reporting and ordering
Through the portal the customer reports a fault with a short description and a photo of the display or bypass. The report reaches service scheduling with the unit number attached. If you supply salt, the customer can place an order that is delivered on the next round nearby.
Less email, the same records.
Water softener installers currently keep unit data in a spreadsheet, the accounting package or a service system. The portal shows data from that source and does not let customers edit it. Reports and orders go to service scheduling. The customer owns their contact details and can update them; you remain owner of the unit and service register. Invoices stay in the accounting package, possibly with a link from the portal.
Portal or email only
A portal gives customers access at any time but requires them to log in. An email with a report after each visit is simpler but gets lost. Many customers are fine with email; a portal is most valuable for businesses with several units or customers who get in touch often.
Salt ordering in the portal or not
Ordering salt through the portal is handy if you supply it and combine deliveries with service rounds. It does require orders to flow into scheduling and stock. If you do not supply salt, the portal can explain which salt is suitable and where to buy it.
Reporting faults online or by phone
A report through the portal arrives structured with unit number and photo, but feels less direct than calling for some customers. Offering both, with a clear expectation in the portal of when you will respond, keeps customers happy and makes reports more useful. Urgent problems can always stay on the phone.
How it already runs at similar businesses.
What customers find in the portal.
Customers see per address their unit details, maintenance package, planned visits and reports, and can report a fault. An email with the visit report remains for anyone who does not want to log in. Before the portal opens, we go through an ordinary household customer, and a sold home where the new resident wants to take over the maintenance package. Salt orders through the portal and an overview for businesses with several units can be added later.

Explore pricing and optionsCan customers reschedule their service visit in the portal?
Yes, within the slots the planner releases for their area. The portal shows those options and the customer picks one. If they want something else, a request goes to the planner. Servicing stays on the route.
What happens when a customer moves house?
The departing customer or your office starts the transfer. The new occupant receives an invitation and can take over the maintenance package or end it. The unit history stays with the address, so the next engineer knows what is installed.
Can customers edit unit details themselves?
No. Unit details are managed by you based on job cards. The customer can update contact details and leave a remark if they think something is wrong. The register stays reliable for engineers. Engineers rely on it.
Do customers see their invoices in the portal?
That is possible if the accounting package makes invoices available. The portal then shows an overview with links. If not, invoices continue to go by email. The portal focuses first and foremost on the unit and its servicing.
