Design and creative production: Digital job cards for voice-over studios
Digital job cards for voice-over studios: a recording card holding script version, pronunciation notes, selected takes and usage agreement, so every recording traces back to what was agreed.
What a job card for voice-over studios should hold.
In the booth at voice-over studios, the details matter. How is the brand name pronounced, with the stress on the first or second syllable? Is it the English or the Dutch pronunciation of a product name? Those agreements sit in an email from two weeks ago, or in the director's head. After the session the engineer notes which takes were good, but not always which script version they belong to. When a correction comes in later, nobody remembers whether the previous take used the old text or the new one. The usage agreement belongs with the recording as well, yet it sits in the quote, separate from the file that goes out.

Set up the recording card
Before the session a recording card is ready with the approved script version, pronunciation notes with any audio clips, the intended tone and the delivery format. Voice actor and engineer see the same card. The usage agreement is on it too, so it is clear whether this is an internal video or a broadcast.
Log takes and choices
During the session the engineer marks the chosen take per line or per paragraph, with the director's comments. A line read differently from the script at the client's request gets a note. Afterwards it is clear why a recording departs from the text on paper.
Check post-production and handover
After recording comes post-production: breaths, plosives, loudness to the delivery spec and cutting into separate files. The card shows which steps are done. Only when everything is ticked and the file names match the agreement does the recording go to the client.
No more paper and loose photos.
Engineers and voice actors keep working in their own recording software; nothing changes there. The recording card points to the session files without moving them. Pronunciation notes currently kept in separate documents can move to the card and are kept per client for the next session. The studio owns the card; the client owns the script and the pronunciation agreements for their brand and products.
Notes per client or per session
Pronunciation of brand names and technical terms usually applies to all of a client's recordings. Those belong in a standing list per client that appears automatically on every new recording card. Agreements that only apply to this script, such as a particular tone, belong on the card itself. A voice actor then never has to ask again how a name sounds.
Takes per line or per block
For e-learning and phone menus each line often becomes a separate file, and recording the chosen take per line is the only workable approach. For a continuous commercial a take per block is clearer. The card supports both, depending on the delivery format chosen in the enquiry.
Who does post-production
Freelance voice actors with a home studio sometimes deliver files already processed. That saves studio time, but the studio then has to check the files meet the delivery spec. If the studio processes everything itself, quality is consistent but it takes longer. The card states who does the post-production and who checks it.

The recording card holds script version, pronunciation notes, chosen takes and the post-production steps. We go through an ordinary session for an explainer video together, and a voice actor recording from their home studio while the client directs from the studio. A fixed pronunciation list per client and passing the chosen takes on to the client portal are yours to use once the card works well in ordinary sessions.

Explore pricing and optionsCan a voice actor see the recording card in advance?
Yes. Once the session is confirmed the voice actor sees the script, the pronunciation notes and the intended tone. They can ask questions on a note, which go to the studio. Uncertainties are cleared up before they step into the booth.
How do we know which script version a take belongs to?
Every take is recorded with the script version valid at that moment. If a new version arrives later, the old takes stay linked to the old version. For a pick-up you see exactly which lines changed and which takes can still be used.
Can pronunciation notes include audio?
Yes. A note can contain a short audio clip, for example the client saying the brand name themselves. That clip stays with the client's pronunciation list and is available straight away for later sessions, even with a different voice.
Is post-production tracked on the card too?
Yes. The card shows the post-production steps that belong to this delivery format, such as cleaning up, adjusting loudness and cutting into separate files. Each step is ticked off by whoever does it, so you can see where a recording stands.
