Design and creative production: Customer portal for voice-over studios
A customer portal for voice-over studios where clients approve scripts, listen to recording versions and download files, with the applicable usage agreement shown on every version.
What customers of voice-over studios want to see.
At voice-over studios scripts and recordings travel back and forth by email. The client sends a script, then a corrected script, then a small change in the attachment of a forwarded email. The studio records, sends a link and gets the reply: line twelve needs to be different. Which line twelve, in which version? An agency producing for an end client forwards it on, and the end client then has notes of their own. A few months later someone asks for the file again, but the download link has expired and nobody remembers which version was final or what usage it was licensed for.

Scope access per project
Each client sees only their own projects. With an agency, it can be decided per project whether the end client gets access too, and whether they can approve or only listen. A job for one end client stays invisible to another, even when both come through the same agency.
Show script and recording together
The portal shows the approved script next to the recording version. The client listens and clicks a line to leave a comment, so it is clear which text is meant. Every new script version is approved in the portal before recording, so there is no dispute about which text applied.
Link feedback and delivery
Comments on a recording are passed to the recording card as a possible pick-up. After approval the final files are ready to download, with the usage agreement alongside. Later on the client can download the files again and check what use they were licensed for.
Less email, the same records.
Voice-over studios currently send files through a file transfer service or email. The portal replaces that delivery; the files themselves can stay in whatever storage the studio uses. Scripts that now arrive as attachments are uploaded to the portal and given a version label. The studio owns and delivers the recordings; the client owns the script and the approval, both kept with the version they relate to.
Approve script before or after
A script approved before recording prevents most disputes afterwards. Yet some clients want to hear how it sounds before locking the text. The portal allows both, but makes it clear when a recording was made from an unapproved script, so the cost of a pick-up can be discussed openly.
Agency or end client approves
When an agency commissions the work, it usually wants to keep control. Sometimes it is more efficient to let the end client listen and respond directly. The portal lets you choose per project who listens and who has the final say, so the agency is not sidelined and the end client is not stuck working through forwarded emails.
Keep files or let them expire
A download link that expires is secure, but causes questions later when a client needs a file again. Keeping files available indefinitely is convenient, but needs storage and a clear agreement. The portal can apply a retention period per client and notifies when files are about to be archived.

The portal opens with access per project, script approval, recording versions with comments per line and download of final files with the usage agreement attached. Before clients log in, we walk through an ordinary job from an agency together and an end client who still wants one line changed after that agency approved it. An overview of all projects per client and alerts on expiring usage are switched on after that.

Explore pricing and optionsCan an end client take part without sidelining the agency?
Yes. The agency decides per project whether the end client gets access and what they can do. The end client's comments are visible to the agency, and the agency can set it so that only they give final approval.
Can clients find old recordings later?
Yes. All final recordings remain available per project, with the script version and the usage agreement. A client can download a file again months later and check whether the use they now have in mind has already been agreed.
What if a client gives feedback outside the portal?
The studio can enter it in the portal against the right line, noting that it came in by email or phone. Everything stays in one place and it is possible to read back later which change was made and why.
How do we deliver separate files for e-learning?
For delivery in separate files the portal shows a list of file names following the agreed scheme, each playable per line. The client can download everything at once or file by file, and sees immediately which files are still waiting on a pick-up.
