Design and creative production: Quotation software for voice-over studios
Quotation software for voice-over studios that prices session length, voice actor and usage rights by medium, territory and term, so every proposal shows what the client is paying for.
Where quotes for voice-over studios get stuck.
A quote at voice-over studios has two parts that often get blurred: the recording itself and the right to use it. The first depends on word count and type of session; the second on medium, territory and term. A spot that runs online first and later on radio needs its usage extended, but that is not always priced again. The arrangement with the voice actor matters too: a freelance voice charges their own rates for certain kinds of use. If that is missing from the quote, the studio only discovers when settling with the voice that its margin has gone.

Separate recording from usage
The quote opens with two blocks. The recording block covers word count, expected session length, remote direction and number of correction rounds. The usage block covers medium, territory and term. Keeping them apart shows the client that a longer campaign is a different thing from a longer script.
Work out voice fee and margin
Each voice actor's own rates for recording and usage are stored. The software calculates the voice's share and the studio's share, including studio time and post-production. The studio manager sees the margin on every proposal and can adjust it before the quote goes out, for example with a voice that charges a high broadcast fee.
Record the proposal and licence
The proposal goes to the client with a clear description of the permitted use. On acceptance that usage agreement is linked to the recording itself. If the client later wants to extend to another medium or a longer term, it is clear what has already been agreed and what still needs arranging.
Alongside your calculations and price lists.
Voice-over studios often price from a rate card per voice and a separate spreadsheet for usage. The quotation software brings those together and keeps each voice's rates current. An accepted quote can go to the accounting package as a draft invoice. Voice actors own their rates; the studio records them and updates them after discussion. The usage agreement belongs to the recording and can be found later when someone asks whether a spot may still run.
Per word or per session
A price per word is easy to grasp for long scripts such as e-learning or audiobooks. Short spots are priced per session or per spot, because preparation and direction outweigh the text. The quote supports both and shows which basis applies, so a client is never comparing two proposals built on different foundations.
Buy usage upfront or extend
A client can buy broad usage upfront, which costs more but avoids hassle later. Or they buy narrowly and extend as the campaign grows. Extending only works for the studio if the original agreement was properly recorded. The quote allows both routes and keeps what applies to each recording.
Paid or free auditions
Auditions using the client's script help them pick a voice, but cost the voice actor time. Some studios do a short clip for free and charge for longer auditions. The quote records which arrangement applies, so a voice actor knows whether they are paid for an audition that does not lead to a booking.

The quote works out recording and usage separately, with your rates per voice and the studio margin, and on approval the usage agreement is fixed. We put that to the test together with an ordinary quote for an online video, and with a client who wants an existing spot to run on radio too. Passing the accepted quote on to your accounting package and an alert when a usage period ends are switched on when you are ready.

Explore pricing and optionsCan we store different usage rates for each voice?
Yes. Each voice has its own rates for recording and for different kinds of use. The quote automatically applies the rates of the chosen voice. If a voice changes their rates, that applies to new quotes while earlier proposals stay as they were.
How do we see what usage a client has already bought?
The usage agreement is attached to the recording. Look up the recording and you see medium, territory and term as agreed. If the client asks to extend, the quote creates an addition that prices only the extra usage on top of what was agreed.
What if the script gets longer after the quote?
With per-word pricing the software calculates the difference and passes it to the studio manager as a suggestion. With per-session pricing it depends on the agreed limit. Either way the change is only charged once the studio confirms it.
Can we send a quote in Dutch as well?
Yes. The quote can be produced in English or Dutch with the same structure. Usage descriptions are fixed per language, so a Dutch-speaking client reads exactly the same agreement as an English-speaking one, without the studio translating it on the fly.
