Design and creative production: Scheduling software for voice-over studios
Scheduling software for voice-over studios that books voice actors and studio slots together, with room for remote direction and pick-ups, so a session is only fixed once voice, booth and script are ready.
What makes scheduling hard for voice-over studios.
Scheduling a session at voice-over studios hinges on three things that are rarely settled at the same time: the voice, the booth and the final script. The voice actor is freelance and has other work, the client wants to listen in but sits in another time zone, and the script arrives an hour before the session with changes. Short recordings get squeezed between longer sessions, then an overrunning e-learning session pushes everything after it. Pick-ups after a script change need the same voice and ideally the same set-up, so the sound matches. Without an overview a voice gets double-booked, or a voice actor sits waiting for a script that does not exist yet.

Capture session requirements
Each session records which voice is needed, which booth, whether there is remote direction and how long it should take based on the word count. It also shows whether the script is final. A session with a draft script can be scheduled, but stays provisional until the text is approved.
Match voice and booth
The schedule shows voice actors' availability next to free booths. With remote direction the client's local time is taken into account too. A pick-up is preferably scheduled in the same booth as the original recording, so the sound matches. Clashes show up before anyone receives a confirmation.
Confirm with script and link
On confirmation the voice actor receives the final script, the pronunciation notes and the time. The client gets an invitation to listen in remotely. If a new script version arrives, the voice actor sees it immediately and the old one is marked as superseded, so nobody works from the wrong version.
Alongside your calendar and your team.
Voice-over studios usually schedule in a shared calendar per booth, while voice actors send their availability by email or messaging app. The schedule connects to the calendars voice actors already use, so a confirmed session appears there. For remote direction the studio keeps its own connection service; the schedule simply prepares the invitation. The studio owns the schedule and voice actors manage their own availability.
Pick the voice or the slot
Some clients insist on one voice, and then that voice decides the timing. Others have a hard deadline and choose a voice that is free in time. The schedule shows both: for a chosen voice the next free slots, and for a chosen slot which suitable voices are available.
Long sessions or short blocks
Long scripts such as e-learning or audiobooks are often recorded over several blocks, because a voice tires after a few hours. Short spots fit into small blocks in between. The schedule allows for rest between long blocks for the same voice and stops a short spot being booked straight after a heavy session.
Live direction or later feedback
With live direction the client hears everything as it happens and can steer, which saves correction rounds. It does need a time that suits everyone. Without direction the voice records and feedback follows afterwards, which is more flexible but leads to more pick-ups. The schedule shows which option was chosen for each session.

Voice actors and booths sit together in the schedule, with script status and remote direction alongside. Before the switch we play out an ordinary day of short spots, and a script change after recording that needs a pick-up with the same voice in the same booth. Connecting the personal calendars of freelance voices and spreading long texts across blocks automatically are switched on once the schedule is firmly in use.

Explore pricing and optionsCan freelance voice actors keep their own availability up to date?
Yes. A voice actor marks when they are available in their own view. The studio sees that when scheduling, but the voice actor does not see bookings for other voices. A confirmed session appears in their calendar with the script and notes.
What happens if the script changes just before the session?
The new version is attached to the session and the old one marked as superseded. The voice actor gets a notification. If the text has grown considerably, the studio manager sees that the session may overrun and can adjust what follows.
Does the schedule handle time zones?
Yes. With remote direction the client's time is shown alongside the studio's. That way a session is never set for a moment when the director would have to listen in during the middle of the night.
Can we put a voice on hold?
Yes. A session can be pencilled in as an option with an expiry date. If no confirmation arrives by then, the option lapses and the voice becomes free again. The voice actor can see the difference between an option and a confirmed session.
