Design and creative production: Customer portal for video production companies

A customer portal for video production companies where clients review edit versions, leave timecoded feedback and approve each version, without loose links and email chains.

Customer portal for video production companies. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of video production companies want to see.

After the first cut, video production companies send the client a link. The client forwards it to three colleagues, and four emails come back with notes like: in the bit about the factory the logo should be bigger. Which bit, which logo, which version? Notes from the communications team contradict those from the managing director. In the second round, comments arrive on the previous cut because someone used an old link. The editor loses hours working out what is meant, and when approval finally comes it covers the long version while nobody has seen the vertical cuts yet.

Set access and roles

For each project it is decided who at the client has access and what each person may do: view, give feedback or approve. One person is named as the final decision maker. It is clear in advance whose feedback leads when notes contradict each other, and who has the last word.

Review versions with timecodes

The latest edit sits at the top and older versions can be replayed. Comments are placed at a moment in the video, optionally with a mark on the frame. Comments from different people are grouped, so contradictions stand out. The decision maker can consolidate them before the round goes to the editor.

Approve per version and format

Approval is given per version and per delivery format: the long film, the short cut and each vertical variant. Approval is only possible once all comments in that round are dealt with. After approval the final files are ready to download, with subtitle files and any separate variants alongside.

Less email, the same records.

Video production companies currently share edits through a video platform with a private link or through a file transfer service. The portal replaces that delivery, but the files can stay wherever the editor exports them. We agree which versions go to the portal and at what quality. The company owns the videos; the client owns their feedback and approval, which are kept with the version.

Everyone comments or one contact

If everyone at the client can comment directly, feedback arrives faster but unfiltered. One contact who collects everything gives calmer rounds but slows things down. The portal lets everyone comment, but the decision maker only passes the round to the editor once they have reviewed the comments. The editor stays out of internal debates.

Count feedback rounds or not

The quote usually names a number of feedback rounds. If the portal counts them, the client sees when an extra round will carry a cost. That can feel strict, but it prevents arguments at the end. The portal shows the counter, and the producer decides whether an extra round is charged.

One version or every format

Approving the long version first and then making the short and vertical cuts avoids double work. Showing all formats at once saves time, but every change then has to be carried through several versions. The portal supports both orders and shows per format whether it has been approved.

What customers find in the portal.

Clients get access with roles, edit versions with feedback at timecode, a counter for rounds and approval per version and format. Together we go through an ordinary corporate film with two feedback rounds, and a client where the managing director still wants a change after communications has approved. Having subtitles checked in the portal and an overview of all projects per client are switched on whenever you want.

Can clients draw a mark on the frame?

Yes. With a comment the client can mark an area of the frame, for example the logo that should be bigger or a person who must not be recognisable. The editor sees the mark at the right moment in the video, which saves a lot of explanation in text.

What if someone comments on an old version?

Comments stay with the version they were given on. If someone opens an old version, they see a notice that a newer one exists. The editor sees the comment flagged as placed on an old version, so they can check whether it still applies.

Can clients check subtitles in the portal?

Yes. Subtitles can be shown as a layer on the video, and the client can comment on a specific line. Spelling mistakes, misspelled names or lines that change too quickly are caught before the final files are produced.

How long do videos stay in the portal?

You agree that per client. Final files can stay available longer than interim versions. Before files are archived, the client gets a notice, so they can still download them if they want to keep their own copy for longer.
