Design and creative production: Digital job cards for video production companies
Digital job cards for video production companies: a shot list per shoot day that records shots, takes, media and notes, so the editor knows exactly what was filmed.
What a job card for video production companies should hold.
On a shoot day at video production companies a lot of information gets lost between set and edit. The director knows which take of the interview was best, but it is written down nowhere. A shot on the list was skipped because the room was unavailable, and the editor only finds out while cutting. Sound was recorded separately and has to be matched to the right footage. Cards are copied at the end of the day, but nobody systematically checks that each card is really backed up before it is wiped. Losing footage after a shoot day means reshooting, with crew and location.

Prepare the shot list per day
Before the shoot the shot list is ready, linked to the script or brief, with location, who is on camera and what each shot needs to show. Director and camera team see the same list. It also records which cards and recorders are used, so it is clear later where each piece of footage came from.
Tick off shots and takes
During the shoot the assistant director or producer ticks off what has been filmed, with the good take and comments. A shot that did not work gets a reason and a proposal: reshoot later, alternative shot or drop it. At the end of the day the producer sees what is missing before the crew leaves.
Secure media and hand over
After the shoot each card is logged as copied and verified, with where the copies are. Only then may the card be wiped. The editor receives the shot list with good takes and notes, linked to the folders where the footage sits, and can start straight away without screening everything.
No more paper and loose photos.
Camera and sound teams use their own equipment; editors use their own editing software. The shot list sits alongside, pointing to folders and file names without moving the footage. Shot lists currently kept in a spreadsheet or on paper can be moved across. The company owns the shot list and the media records; the client only sees what is meant for them.
Follow the list strictly or not
On a scripted production the shot list leads and every missing shot is a problem. On a documentary or event coverage the best footage often comes from outside the list. The job card supports both: required shots that must be ticked off, and an open list for what came up along the way, with a short note for the editor.
Who keeps the list
On a large production an assistant director keeps the list. With a small crew the camera operator or director has to do it, which distracts from the work. A middle route is marking only the good takes on set and adding notes straight after the shoot. The job card adapts to whoever fills it in.
Copy on set or at the office
Copying cards on set gives certainty, because footage is in two places straight away, but it needs a laptop and someone keeping an eye on it. Copying at the office is simpler, but the only copy then travels in a bag. The job card records where and by whom cards were copied, so nobody wipes a card that is not yet safe.

For each shoot day a shot list is ready on which shots and takes are ticked off, with a reason for missed shots and securing the cards. We walk through an ordinary interview day together, and a shoot day where a location closes unexpectedly and three shots have to move to another day. Passing missed shots on to the editing schedule and an overview of missing shots per production are yours to use after that.

Explore pricing and optionsDoes the shot list work without internet on location?
Yes. The shot list can be loaded onto a phone or tablet beforehand and works offline. Whatever is ticked off on set syncs as soon as there is a connection again. It works in a basement or at a remote outdoor location too.
How do we know which cards have been safely copied?
For each card it is recorded when it was copied, where to and whether the copy was verified. A card without that record shows as not safe in the overview. Nobody wipes a card whose footage still exists in only one place.
Can the editor see the notes from set?
Yes. The editor receives the shot list with the good take for each shot, the director's comments and any problems, such as distracting background noise. That saves screening all the footage before the first cut can begin.
What if the client asks for an extra shot on set?
That shot is added to the list as an extra, with who asked for it. If it takes noticeable time or an extra location, the producer gets a prompt to record it as an amendment to the quote. It is then clear later where the shot came from.
