Transport and delivery: Enquiry form for vehicle transporters

An enquiry form for vehicle transporters that asks for vehicle dimensions, running condition, pickup address and keys, so the planner knows in advance whether a winch or recovery truck is needed.

Enquiry form for vehicle transporters. An enquiry form that collects the required information step by step. Example with demonstration data.

What makes an enquiry complete for vehicle transporters.

An enquiry to a vehicle transporter often starts with a make and model and two place names. What is missing is exactly what decides the run: does the car start, do the wheels turn freely, is it lowered or unusually tall, is it in a multi-storey car park or behind a gate? People also forget to say who holds the keys and whether documents must travel with it. Vehicle transporters only find out when the driver arrives, leading to a second run, waiting hours or the wrong truck. When a dealer submits ten vehicles at once, it is unclear per car which one runs and which does not.

From form to assessed enquiry.

Ask about vehicle and condition

The form asks for make, model and registration, then whether the car can drive, steer and brake on its own. If there is doubt, targeted questions follow: does it start, are the tyres inflated, is there damage that affects loading? Lowered, widened or heavy vehicles prompt an extra question about dimensions and weight.

Record pickup situation and keys

For each address the form asks where the car is: on the street, on private grounds, in a garage or at an auction site with limited hours. It also asks who will be present at collection, where the keys are and which documents go with the car. A car park prompts a question about headroom at the entrance.

Send a complete request to planning

The completed request reaches the planner as one overview per vehicle, with running condition, dimensions, addresses and contacts. Anything uncertain is flagged. With several vehicles, the planner sees in one list which cars need a winch, so the right truck can be assigned from the start.

Enquiries in one place, not the inbox.

Enquiries now arrive by phone, email, a general contact form or straight from a dealer or auction system sending a collection order. We have the new form land in the inbox or system planning already uses. Dealers can upload a list instead of entering each car. The enquirer is responsible for the accuracy of the condition details; the planner decides what equipment the job requires.

Simple yes or no, or detailed

A simple yes or no on running condition is quick but misses the grey areas: a car that starts but will not brake, or drives but has a flat tyre. A few targeted follow-up questions when in doubt give the planner far more. The form only asks them when the first answer gives reason to.

Enter per car or upload a list

For a private customer with one car, typing it in is fine. A dealer with a batch of trade-ins wants to submit a list with registration, address and condition. The form checks such a list for missing columns and duplicate registrations before the planner sees it, so emails do not have to fly back and forth afterwards.

Look up the registration or type it

From a registration, make and model can often be filled in from public vehicle data, if you use a source for that. It saves typing and avoids errors. Condition and special details must always come from the enquirer, because no register knows whether the battery is flat or a wheel is locked.

Which questions the form asks.

The enquiry form asks for vehicle, driveability, dimensions and collection situation, including keys and papers, matched to your trucks. Together we try two enquiries: a private customer having a running car collected, and a garage that wants a non-running car fetched from a car park. If the planner can schedule both without follow-up questions, the form is live. Uploading lists and passing an enquiry on to a quote are switched on later.

What if the enquirer does not know whether the car runs?

The form follows up with simple questions: does it start, can it be moved, are the wheels free? Based on that, the car is flagged as uncertain. The planner can then choose to send a winch just in case or get in touch first to check.

Can we ask about car park headroom?

Yes. If the enquirer says the car is in a multi-storey or underground car park, the form asks about entrance headroom and whether there is a ramp. That decides whether a recovery truck can get in or the car has to be brought out first. The planner sees it straight away.

How do we handle keys and documents?

The form asks where the keys are, who hands them over and which documents must travel with the car. At an auction site or dealer that is often a desk. The information goes on to the job card, so the driver never stands at a locked car without a key.

Can a dealer register several cars at once?

Yes, through a list or by adding several vehicles to one request. Running condition and pickup address are asked for each car. The planner sees the cars together and can combine them on one carrier when the destinations and loading order allow it.
