Transport and delivery: Operations dashboard for vehicle transporters
An operations dashboard for vehicle transporters that shows damage reports at handover, waiting hours and truck utilisation, traceable back to each vehicle record.
Which figures vehicle transporters really need.
The owner of a vehicle transport business wants to know where damage occurs, which pickup addresses keep producing waiting hours and how full the trucks run. Damage reports now come in by email or phone and are handled case by case, without anyone seeing whether they recur with the same truck, driver or type of car. Utilisation is estimated. Nor is it agreed what a damage report is: does a report that turns out to be existing damage still count? Without that agreement, the figures differ between planner, owner and insurer, and decisions are based on the latest incident rather than a pattern.

Fix the definitions
We agree what a damage report is, when it counts as justified, what waiting hours are and how utilisation is calculated: per run, per day or per distance driven. Those agreements are visible in the dashboard, so everyone knows how a number came about and nobody argues about the basis.
Pull data from the sources
Damage reports come from vehicle records and the portal, waiting hours from the job card, runs and trucks from scheduling. Nothing is retyped. Where a source is incomplete, for example because waiting time was not always logged, that is shown next to the figure so nobody mistakes a gap for a good result.
Trace patterns down to the car
If a truck or pickup address stands out, you click through to the runs and vehicle records behind it. You then see whether damage arises when loading a particular position, with a certain type of car or at a specific location. The dashboard shows the pattern; you decide what to do about it.
Figures from your own work.
Run data comes from scheduling, vehicle records and waiting hours from the job card, damage reports from the portal and revenue from the accounting package. The dashboard reads from those sources without replacing them. Existing overviews of damage claims, for example from the insurer, can be imported once for comparison. Every number stays owned by the system where it originates, and corrections happen there.
Damage per driver or per situation
Showing damage per driver seems logical, but a driver who loads the most lowered cars runs more risk. Damage per situation, such as position on the truck, type of car or pickup location, gives more useful insight. Conversations about individual drivers are better held in person with the data at hand than on a shared screen.
Utilisation per run or per day
Utilisation per run shows how full a truck leaves. Utilisation per day shows how many positions were used across the whole day, including return legs. Each tells you something different. For decisions about extra trucks or fixed routes, the daily view is more useful; for the planner, the run view.
Counting only or costs as well
The number of damage reports and waiting hours shows where things go wrong. Set against costs, you also see what it costs you, such as insurance excess or unbilled waiting hours. For that the software reads costs from your accounting package, once the definitions are settled. Many businesses start with counts and add costs later.

Damage reports at handover, waiting hours per collection address and utilisation per truck are on the dashboard, with fixed definitions and drill down to the vehicle record. We settle those definitions together at the start. An ordinary month and a week with a striking damage report are compared side by side, until planner and owner recognise the figures. Costs per damage, a monthly overview and a comparison of fixed routes with single runs are switched on afterwards.

Explore pricing and optionsDoes an unjustified damage report count?
That depends on the agreed definition. It is usually useful to see both: the number of reports and the number that proved justified after comparison with the collection photos. That also shows how often the collection record heads off a dispute.
Can we see which pickup addresses cause long waits?
Yes, if drivers log waiting time in the job card. Per address or client you can see how many runs involved waiting and how much. That gives you evidence for a conversation with a dealer or for adjusting the terms.
How much data do we need for a reliable picture?
You can start as soon as scheduling and job cards produce data. With few runs, outliers are normal, so the dashboard shows how many runs each figure is based on. The picture firms up week by week.
Can we share the dashboard with our insurer?
The dashboard is for internal use. If you want to share data with an insurer, an export of the relevant damage reports with vehicle records works better. You then decide what is shared without giving access to the rest of the business.
What often connects to this.
- Digital job cards for vehicle transportersDigital job cards for vehicle transporters with a vehicle record for every car: condition photos, mileage, keys and documents logged at collection and delivery.
- Website for vehicle transportersA website for vehicle transporters that explains which service fits each kind of vehicle and destination, including what changes when a car cannot drive itself.
- Enquiry form for vehicle transportersAn enquiry form for vehicle transporters that asks for vehicle dimensions, running condition, pickup address and keys, so the planner knows in advance whether a winch or recovery truck is needed.
