Repairs and specialist services: Quotation software for upholsterers
Quotation software for upholsterers that turns fabric length, pattern repeat and internal work into a quote with clear choices, so customers see what the fabric costs and what the piece needs inside.
Where quotes for upholsterers get stuck.
Quoting is hard for upholsterers because two uncertainties play out at once. The fabric: a plain velvet needs fewer metres than a large floral that must be centred on every seat and back, and a wide roll cuts differently from a narrow one. The internal work: whether the springs are sound or the foam has crumbled only shows once the piece is opened up. Today the upholsterer works from experience to a total price, and the customer then picks a fabric from a more expensive collection. Or the webbing needs replacing, and nobody can see what was and was not in the original price.

Example- 1
Fabric length from shape and repeat
DoneThe upholsterer picks the furniture type and its parts, such as seat, back, arms and loose cushions, and the system calculates the metres needed from the roll width and pattern repeat of the chosen fabric.

Internal work as named options
In progressInternal work appears as separate lines: new foam, new webbing, repairing or replacing springs, regluing the frame.

Fabric band and approval
NextBecause customers often hesitate between fabrics, the quote can set several fabric price bands side by side, showing the difference in price and metres.
From enquiry to signed quote.
Fabric length from shape and repeat
The upholsterer picks the furniture type and its parts, such as seat, back, arms and loose cushions, and the system calculates the metres needed from the roll width and pattern repeat of the chosen fabric. A plain fabric needs less than one whose motif has to run through. The calculation stays visible and can be adjusted.
Internal work as named options
Internal work appears as separate lines: new foam, new webbing, repairing or replacing springs, regluing the frame. What the upholsterer can already be sure of from photos goes in as a fixed line. What only shows once opened appears as an option with a price, so the customer knows in advance what might follow.
Fabric band and approval
Because customers often hesitate between fabrics, the quote can set several fabric price bands side by side, showing the difference in price and metres. The customer chooses a fabric and approves, including the agreement on internal work that may turn out to be needed. That approval is the basis for ordering and cutting.
Alongside your calculations and price lists.
Upholsterers often quote with a spreadsheet, a supplier price list and the accounting package. We take over the prices per fabric band and the rates for internal work, and the upholsterer remains owner of those tables. When a supplier changes prices, the upholsterer updates the band. An accepted quote can go to the accounting package as a draft or deposit invoice, so the final invoice follows the same lines.
Price per fabric band or per fabric
Giving every fabric its own price is precise but unworkable with hundreds of fabrics. Working with price bands that group fabrics of similar cost makes quotes quick and comparable. The downside is that a fabric at the edge of a band comes out slightly high or low. Many upholsterers use bands and price exceptions separately.
Fix internal work upfront or later
Including all internal work in the price upfront gives certainty but makes the quote expensive for someone lucky enough to have a sound frame. Charging everything afterwards is fair but unpredictable. A common middle path is fixed lines for what is certain and named options for what may emerge once opened, at prices agreed in advance.
Working with the customer's own fabric
With customer fabric the upholsterer charges no fabric but carries the risk of cloth that is awkward to work or turns out just short. The quote then states how many metres are needed at the given repeat, who sources extra metres and whether a surcharge applies for difficult fabrics. Everyone knows upfront what happens if it does not fit.

Your fabric price bands and rates for internal work are ready; the software calculates metres from furniture parts, roll width and pattern repeat and makes a quote with options for internal work. Those bands are brought over at the start. Together we go through four dining chairs in plain fabric, and a three seater sofa in a large floral where the customer switches price band halfway. Customer fabric and the deposit invoice go on whenever you want them.

Explore pricing and optionsHow does the quote handle a pattern that has to run through?
Each fabric lets you enter the pattern repeat, the distance after which the motif returns. The system accounts for it when laying the parts out on the roll and adds the extra fabric. The upholsterer can adjust the result if they see a smarter way to cut.
Can a customer have two fabrics priced at once?
Yes. The quote can set several fabrics or bands side by side, each with metres and price. The customer sees straight away what a pricier or heavily patterned fabric means, and the upholsterer does not need a new quote for every hesitation.
What if more internal work turns up after opening?
If that work is an option in the quote, the price is already set and the customer only confirms. For something unexpected, such as a broken frame part, the upholsterer creates an addition with a photo. The customer approves it separately before work continues.
Can we ask for a deposit to cover the fabric?
Yes. Because fabric is often ordered per job and cannot be returned, many upholsterers ask for a deposit on approval. The system prepares it from the amount or share you set, and the final invoice deducts it automatically.
What often connects to this.
- Enquiry form for upholsterersAn enquiry form for upholsterers that asks for furniture shape, condition and fabric wishes with photos from every side, so the upholsterer can estimate internal work and fabric needed.
- Digital job cards for upholsterersDigital job cards for upholsterers: a furniture card with fabric direction and cutting plan, recording what was found when the piece was opened and which internal parts were replaced.
- Invoicing software for upholsterersInvoicing software for upholsterers in which the invoice follows from what really happened to the piece: the fabric chosen, internal work after stripping and the delivery indoors.
