Repairs and specialist services: Digital job cards for upholsterers
Digital job cards for upholsterers: a furniture card with fabric direction and cutting plan, recording what was found when the piece was opened and which internal parts were replaced.
What a job card for upholsterers should hold.
In the workshops of upholsterers, the key knowledge about a job often lives only in the head of whoever started it. Which way does the velvet pile run, where should the fabric motif be centred, how did the piping run on the old cover? Once the piece is stripped, all sorts of things appear: broken webbing, crumbled foam, a loose joint in the frame. That gets passed on verbally or on a scrap of paper. If a colleague takes over, they start searching again. And when the customer later asks whether the springs really were replaced, there is no photo or note to show it.

Prepare a card with fabric direction
Each job gets a furniture card with photos of the piece as it arrived, the chosen fabric and a simple cutting plan. For each part it shows the fabric direction, the pile on velvet and where the motif should be centred. Everyone working on the piece cuts the same way.
Record findings when stripped
Once the old cover is off, the upholsterer photographs what they find: webbing, springs, foam, filling and frame. For each part they choose to keep, repair or replace it. Anything outside the quote goes to the customer as a question with a photo before the work is done.
Record finishing and the check
While upholstering, the upholsterer ticks off the parts and notes which fabric, how many metres and which foam were used. A final check confirms the seams run straight, the motif lines up and the piping sits tight, with a photo of the result. Only then is the piece prepared for transport.
No more paper and loose photos.
Most upholsterers work with a paper job sheet or a note on a phone, and sometimes photos in a shared folder. The furniture card replaces those loose pieces and opens on a tablet at the bench. A label with a code on the piece or its fabric bag links the physical item to the card. Details come from the enquiry and quote; the upholsterer owns what is recorded in the workshop.
Draw a cutting plan or annotate photos
A drawn cutting plan per piece is clear but takes time and is not always worth it for one-off items. Photos of the old cover with notes on direction and motif are quicker and often enough. The furniture card supports both, so the upholsterer chooses per job what works.
Keep the old cover as a template
The old fabric can serve as a template for the new parts, especially on antique pieces with unusual shapes. Keeping it takes space, and old fabric is sometimes stretched. Many upholsterers keep only the parts needed as templates, marked with a photo and the card number, and discard the rest.
Ask about every finding or decide
Asking permission for every loose strip of webbing slows the work. Deciding everything alone can lead to a bigger bill than the customer expected. An agreed threshold, deciding within the quote's options and asking beyond them, sits on the furniture card, so every upholsterer follows the same line.

The furniture card shows photos, fabric direction and motif placement, findings on stripping with a choice per part, the materials used and a final check. Which parts you routinely check on stripping is agreed at the start. Together we follow an ordinary dining chair in plain fabric, and an armchair where a broken frame part is found after stripping. A link to stock and an overview of cutting waste can be switched on later.

Explore pricing and optionsCan a colleague take over using only the furniture card?
That is exactly the aim. The card shows fabric, direction, motif placement, findings with photos and which parts are done. A colleague sees where the work stands and how to continue, without first studying the old cover or calling the previous upholsterer.
How do we link the card to the piece in the workshop?
Each piece gets a label with a code on arrival. That code opens the furniture card on a tablet or phone. In a set of matching chairs each chair gets its own label, so findings are recorded per chair and nothing gets swapped.
Can the customer see photos of the internal work?
Yes, if you want that. Photos of the opened piece and the new internals can go to the customer portal. That shows what was done and helps with questions about the difference between new covering and full reupholstery.
Does the card work for sets of restaurant chairs?
Yes. A set gets a shared card with fabric, direction and method, and each chair has its own section for findings and ticking off. You see at a glance how many chairs are finished and which one has something unusual.
What often connects to this.
- Quotation software for upholsterersQuotation software for upholsterers that turns fabric length, pattern repeat and internal work into a quote with clear choices, so customers see what the fabric costs and what the piece needs inside.
- Scheduling software for upholsterersScheduling software for upholsterers that plans workshop capacity, fabric deliveries and furniture transport together, so a sofa does not take up space for weeks while the fabric is still on its way.
- Customer portal for upholsterersA customer portal for upholsterers where customers compare fabric samples, record their choice and approve repair work found when the piece is opened up.
