Repairs and specialist services: Enquiry form for upholsterers

An enquiry form for upholsterers that asks for furniture shape, condition and fabric wishes with photos from every side, so the upholsterer can estimate internal work and fabric needed.

Enquiry form for upholsterers. An enquiry form that collects the required information step by step. Example with demonstration data.

What makes an enquiry complete for upholsterers.

Enquiries to upholsterers arrive as a photo of a sofa asking what it costs. That photo does not show whether the cushions are loose, whether piping runs along the edges, or whether the back is one piece or deep buttoned. The underside, where you see sagging webbing or springs poking through the cloth, is missing entirely. Nor is it clear whether the customer wants a patterned fabric, which changes fabric use dramatically, or will supply their own. The upholsterer phones back or books a visit, when a few focused questions and photos would have been enough to estimate the job.

Capture furniture shape step by step

    Done

The form asks first for the furniture type, then for the features that drive the work: number of seats, loose or fixed cushions, arms, piping or buttons, and rough dimensions.

  2. 2

    Show condition through photos

    In progress

For a sound estimate the form asks for photos from the front, side, back and underneath, plus a close-up of the worst wear.

  3. 3

    Record fabric wishes and access

    Next

Finally the form asks whether the customer has chosen a fabric, wants to pick from a collection or will supply their own, and whether it has a pattern or stripe.

From form to assessed enquiry.

Capture furniture shape step by step

The form asks first for the furniture type, then for the features that drive the work: number of seats, loose or fixed cushions, arms, piping or buttons, and rough dimensions. Each question has a small drawing, so a customer without trade knowledge recognises what is meant. Anyone unsure can leave it open.

Show condition through photos

For a sound estimate the form asks for photos from the front, side, back and underneath, plus a close-up of the worst wear. The customer says whether the seat sags, anything creaks or wobbles and whether there are pets in the house. If the underside photo is missing, the form explains why it matters.

Record fabric wishes and access

Finally the form asks whether the customer has chosen a fabric, wants to pick from a collection or will supply their own, and whether it has a pattern or stripe. It also asks whether the piece will be brought in or needs collecting, which floor it is on and whether there is a lift. The upholsterer gets a complete enquiry.

Enquiries in one place, not the inbox.

Upholsterers currently receive enquiries by phone, email, messages and sometimes a general contact form. The new form puts every enquiry in one list, including phone enquiries the workshop records on a short entry screen. Photos stay with the enquiry instead of on someone's phone or in a messaging app. The upholsterer decides which questions are required; customers remain owners of their details and photos.

Require an underside photo or not

The underside photo tells an upholsterer most about the internal work, but tipping a sofa over is not always possible for a customer. Making it required produces better enquiries but loses some people. A middle path asks for the photo with an explanation of why, and adds a small margin to the estimate when it is missing.

Measure exactly or estimate

Exact measurements help with fabric use, but customers measure differently: with or without arms, with or without cushions. Rough dimensions with a drawing of where to measure are more reliable than precise figures without guidance. The upholsterer measures again at collection or in the workshop before any fabric is ordered.

One form or a business route

A restaurant or office wanting a set of chairs or banquettes reupholstered has different questions from a private customer: quantities, working outside opening hours, fabric requirements. A separate route with a furniture list keeps the private form short. Whether it is needed depends on how many business enquiries arrive.

Which questions the form asks.

The enquiry form asks for furniture type, features with drawings, photos from every side, fabric wishes and transport, and puts everything in a list of incoming enquiries. We choose the drawings per furniture type with you at the start. Together we try an ordinary enquiry for an armchair with a drop-in seat, and a corner sofa in a striped fabric the customer wants to supply. The business route and passing enquiries on to a quote can be switched on later.

What if a customer does not know what kind of furniture they have?

That is fine. The form works with drawings and simple questions, such as whether the cushions come off. Anyone unsure leaves it open, and the upholsterer judges from the photos. A style name or age is not needed for a sound estimate.

Can customers send photos of a fabric they like?

Yes. There is space for a photo or link to a fabric the customer has in mind. The upholsterer sees straight away whether it is plain, patterned or a velvet and can judge what that means for fabric use and handling.

How do we know whether collection is possible?

The form asks for the floor, whether there is a lift, the width of stairs or doors if the customer knows it, and whether the piece comes apart. With that the workshop decides whether two people and a van are enough, or whether a sofa may need dismantling first.

Do enquiries sent by message end up in this list?

A message with a photo can be turned into an enquiry in a few clicks, with the photo attached. The customer then gets a link to fill in the rest. Enquiries no longer vanish into a chat history on someone's phone.
