Repairs and specialist services: Invoicing software for upholsterers

Invoicing software for upholsterers in which the invoice follows from what really happened to the piece: the fabric chosen, internal work after stripping and the delivery indoors.

Invoicing software for upholsterers. Approved work that becomes a reviewable invoice proposal. Example with demonstration data.

Where invoices stall for upholsterers.

With upholsterers a job often changes between quote and delivery. The customer finally chose a pricier fabric, opening the piece showed the springs needed replacing, and the delivery went to a third floor with no lift. Each change was agreed somewhere, but when the invoice is made only the quote is on the table. Bill what the quote said and the workshop loses income. Add things from memory and the invoice no longer matches what the customer remembers. With customer supplied fabric and sets of restaurant chairs it gets even harder to follow.

Example
  1. 1

    Gather card and fabric choice

    Done

The software reads the accepted quote, the fabric and band the customer chose in the portal, approved findings after stripping and the actual internal work from the furniture card.

  2. 2

    Check the differences

    In progress

Before the invoice goes out, the upholsterer sees where it departs from the quote: a different fabric band, extra metres from a difficult pattern, replaced springs, a second transport run.

  3. 3

    Payment on delivery

    Next

After review the invoice is ready with the fabric deposit already offset.

From finished work to paid invoice.

Gather card and fabric choice

The software reads the accepted quote, the fabric and band the customer chose in the portal, approved findings after stripping and the actual internal work from the furniture card. Each piece gets lines for upholstery, fabric, internal work and transport. Internal work carried out without recorded approval is flagged.

Check the differences

Before the invoice goes out, the upholsterer sees where it departs from the quote: a different fabric band, extra metres from a difficult pattern, replaced springs, a second transport run. For each difference they choose to bill, leave out or discuss. Every deviation is consciously reviewed by someone who knows the piece.

Payment on delivery

After review the invoice is ready with the fabric deposit already offset. On delivery the customer pays through the payment link on their phone or by card, and the invoice then shows as paid. A business customer with a set of chairs gets an invoice with terms and an overview per item or per group, and reminders follow automatically.

Invoicing from the same software.

Upholsterers currently often use a bookkeeping program and sometimes a card terminal for payment on delivery. In the software, the fabric deposit, final invoice and payment status sit with the job, so the upholsterer sees before returning the piece whether the deposit has arrived. The upholsterer supplies the actual work through the furniture card, and the schedule supplies transport runs with floor and any surcharges. The bookkeeper looks along or receives an export of invoices and payments.

Fabric separate or in the piece price

Fabric as its own line shows customers what their choice costs and makes the difference with customer fabric clear. One total per piece is simpler but hides why another fabric changes so much. Many upholsterers show fabric and labour separately, with internal work on its own line, so customers see the difference between recovering and reupholstering.

Transport fixed or per run

A fixed transport price per piece is clear but does not cover a third floor without a lift or a second run. Charging per run is fairer but less predictable. A common choice is a fixed price within an area, with surcharges for particulars reported in the enquiry, so the invoice holds no surprises.

Customer fabric and extra risk

With customer fabric the fabric line drops away, but a difficult cloth can mean more work. Some upholsterers then add a surcharge, others accept it. The software carries the agreement over from the quote, so any surcharge on the invoice is not a new subject.

What we set up for your invoicing.

Ready at the start: your fabric bands, the rates for internal work, transport prices per area with surcharges, and the rule for a deposit on fabric ordered specially. Before launch we go through an ordinary armchair with no changes together, and a sofa in customer fabric, with springs replaced after approval and an extra transport run. Invoices per set for hospitality and offices can be switched on as soon as the first business job comes in.

How do we handle the deposit for fabric?

The fabric deposit goes to the customer on approval as its own invoice with a payment link. The final invoice deducts the amount received by itself. If it has not been paid yet, the job shows that, so you can decide whether the piece goes back yet.

What if the customer chose a pricier fabric after the quote?

The fabric choice in the portal sets the band on the invoice. If it differs from the quote, the invoice shows the difference and the date the customer chose. The upholsterer confirms it and the invoice follows the actual choice.

Can we take card payment on delivery?

Yes. The invoice is ready on delivery and the customer pays through the payment link or on your card terminal, after which the invoice shows as paid. Business customers can still receive an ordinary invoice with payment terms and automatic reminders, also for a set of chairs.

Does our bookkeeper have to work in this software too?

No. Invoices, payments and the VAT overview live in the software, and the bookkeeper looks along or receives a regular export. They keep their own way of working, and the workshop no longer has to retype invoices in a second program.
