Where stock drifts for upholsterers.
The stock held by upholsterers is a mix of very different things. There are rolls and offcuts of fabric, some owned by the workshop and some by customers who supplied their own. Foam comes in several types, densities and thicknesses, alongside webbing, springs, filling, piping cord, buttons and staples. An upholsterer needing foam for a seat takes what is there, so the sheet meant for another job is suddenly smaller. A customer's own fabric ends up among the offcuts and is nearly cut for a different piece. And when foam of the right density runs out, nobody notices until it is needed.

Register fabric, foam and ownership
Every roll or offcut of fabric is registered with collection, colour, width, remaining length and owner: the workshop or a customer with the related job. Foam is listed by type, density and thickness, as sheet or block. Small materials such as webbing, piping cord and buttons are listed by kind with a minimum stock level.
Reserve per piece
On an accepted quote the system reserves fabric from stock or prepares an order, and reserves foam and materials for that piece. Customer fabric is linked to its job from the moment it arrives and cannot be used for anything else. Other jobs see what is still free.
Update usage and offcuts
After cutting, the upholsterer reports the metres and foam actually used through the furniture card. The system updates stock and records usable offcuts. With customer fabric, the offcut is returned or kept with permission, so it stays clear who owns it.
Alongside your purchasing and suppliers.
At many upholsterers stock is known to the upholsterer and at most a list of foam sits in a spreadsheet. Fabric is ordered per job from suppliers. We take over the existing list and link stock to the quote and furniture card, so reserving and reporting use happen in the normal flow of work. Orders still go to existing suppliers; the workshop manages items and minimum levels.
Stock foam or have it cut to size
Holding foam sheets and cutting in house keeps the workshop flexible but takes space and leaves offcuts. Having foam cut to size by a supplier is tidier but slower and needs exact dimensions upfront. Many upholsterers stock the common densities and order unusual sizes or types per job.
Keep offcuts or clear them out
Fabric offcuts are useful for small pieces such as a stool, a cushion or a repair, but take space and get forgotten. Clearing everything is tidy but throws away usable material. Recording pieces above a set size, with photo and location, makes offcuts findable for the customer who wants something small covered.
Customer fabric separate or in stock
Recording customer fabric in the same stock keeps things in one place but raises the risk of mix-ups. Storing it separately with a job label is safer. The system does record customer fabric, but always with the job as owner, so it never appears as free stock.

Fabric is registered with its owner, as are foam by type and thickness and small materials, with reservations per piece and usage reported from the furniture card. Your existing foam list is brought over at the start. Together we go through an ordinary seat using foam from stock, and customer fabric that turns out too short at cutting. Minimum levels with order flags and an offcut overview can be set up later.

Customer fabric gets a label with the job on arrival and is recorded with the customer as owner. It can only be reserved for that job. Anyone scanning the fabric sees at once which piece it belongs to.
Can the system track foam by density?
Yes. Foam is listed by type, density and thickness, so the upholsterer sees whether there is a suitable sheet for a seat or back. On reservation the required size is deducted from the sheet, and offcuts can be recorded separately.
What do we do with offcuts of customer fabric?
You agree that with the customer. The offcut can go back with the piece, for a cushion later perhaps, or stay in the workshop with permission. The system records what was agreed, so nobody later wonders whose fabric it is.
Do we get a warning when small materials run low?
Yes. For each item, such as piping cord, webbing or a particular button, you set a minimum level. When stock falls below it, an order flag appears. Ordering stays with you, so you can combine it with other orders from the same supplier.
