Repairs and specialist services: Customer portal for upholsterers
A customer portal for upholsterers where customers compare fabric samples, record their choice and approve repair work found when the piece is opened up.
What customers of upholsterers want to see.
With upholsterers, choosing fabric often takes longest. A customer takes samples home, hesitates between three, emails a photo of a sample next to the rug and calls a week later to say it will be the second after all, but in another colour. Meanwhile no fabric can be ordered. Later, once the piece is open, the customer has to decide again: the springs are broken, do they agree to replacement? That runs by phone, the customer is at work and the sofa sits half stripped. What was finally chosen and approved is spread across email, messages and notes.

Access per customer and piece
A customer sees their own furniture in the portal, each piece with its own status. A restaurant or office sees the whole set, with progress per item. Access runs through a personal link or login, and a partner in the same household can follow along if the customer wishes.
Compare samples and record a choice
The upholsterer adds the samples the customer is considering, with photo, collection, colour and the price per option from the quote. The customer can view them side by side, mark a favourite and finally choose one fabric. That choice is recorded, so fabric can be ordered with no doubt about the colour.
Approve repairs to findings
If the upholsterer finds something on opening that was not in the quote, it appears in the portal with a photo, explanation and price. The customer approves or picks an alternative, such as replacing only the foam and leaving the springs. The response goes straight to the furniture card in the workshop.
Less email, the same records.
At most upholsterers customer contact runs through phone, email and messages, and samples are handed over physically. The portal draws its information from the quote, furniture card and schedule, so nothing is kept twice. Physical samples remain; the portal records the decision. The upholsterer owns the quote and findings; the customer manages their fabric choices, approvals and contact details for each piece.
Samples at home or in the portal
A photo of a sample helps remember which fabric it was, but colour and texture only really show in daylight next to the floor and walls. Many upholsterers hand out physical samples and use the portal to record the choice. When torn between two fabrics, the customer can mark both in the portal and ask the upholsterer for advice.
Approve each finding or all at once
Approving each finding separately gives the customer control, but on a piece with many worn parts it becomes a long list. One approval on a summary is quicker. A middle path is a summary with a choice per part between repair, replace or leave, where the customer only departs from the advice if they want to.
Show status or only questions
A portal that only opens when there is a question is calm, but customers often want to know whether their fabric has arrived. A simple status per piece, such as waiting for fabric or in the workshop, prevents many calls. More detail than that is rarely needed.

In the portal the customer sees the status per piece, compares samples from the quote, chooses one fabric and approves findings on opening, with photo and price. Which samples are visible per quote, you set up at the start. Together we go through an armchair where the customer chooses between two fabrics, and a sofa where both springs and frame need attention after opening. Sets for business customers and care advice per fabric go on whenever you want them.

Explore pricing and optionsCan a customer switch fabric in the portal after ordering?
The portal shows that the fabric has been ordered. If the customer still wants to switch, they say so and the upholsterer checks whether the order can be changed and at what cost. The customer sees those consequences before confirming.
Does the customer have to respond to a finding straight away?
The piece is open at that point, so a quick response helps. The customer gets a message and sees the photo and price in the portal. Without a reply within an agreed time they get a reminder and the workshop can call. Until there is a decision, that part of the work waits.
Can we include care advice for the chosen fabric?
Yes. The chosen fabric can carry a short note on cleaning, sunlight and stains, in your own words. That prevents complaints about fabric that was treated wrongly and gives the customer something to refer back to.
Does the portal work for an office with many chairs?
Yes. A business customer sees the whole set with the status of each chair or sofa. Findings that apply to every chair, such as worn foam throughout, can be approved in one go, while exceptions per piece stay separate.
