Textile printers often have a rack of blanks left over from earlier jobs, plus wholesaler boxes that arrived for current orders. Which belongs to what is known only by whoever unpacked them. For a rush job a printer grabs a stack of black large tees that were actually meant for another order. Odd sizes linger for years because nobody knows they are there. And purchasing orders per job from the wholesaler without checking what is already on the shelf, while popular colours in large sizes sometimes sell out at the wholesaler.

Register each garment variant
Every blank variant gets a fixed record: style, colour and size. On arrival the actual contents of each box are counted per variant and compared with the packing slip. Differences, such as a missing size or the wrong colour, are logged straight away and go to purchasing.
Reserve stock for jobs
Once a job is approved, the system reserves the pieces needed per variant. Stock on hand is used first; any shortfall goes to purchasing as a suggested order. The printer sees which pieces are set aside for each job and cannot take pieces reserved for another.
Book usage and leftovers
After printing, usage is booked from the count on the job card, including misprints. Whatever is left goes back as free stock. Leftovers in rarely requested sizes or colours are flagged, so sales can offer them for small orders or test prints.
Alongside your purchasing and suppliers.
Many textile printers order from one or two wholesalers through their web portals and track their own stock in a spreadsheet, or not at all. We use the wholesaler's product codes as the basis, so ordering and receiving speak the same language. Purchasing owns orders and prices; the floor owns counts and usage. Existing leftovers are counted once at the start. A scanner at goods in is handy but not required.
Hold stock or order per job
Ordering per job keeps the warehouse empty but leaves you dependent on wholesaler lead times and availability. A small stock of the most requested styles and colours makes rush jobs possible. The system shows which variants keep coming back, so that decision rests on data.
Client supplied or your own stock
Some clients supply their own garments to be printed. Those are not part of your stock, but they still have to be counted and kept apart. The system can record client garments with the owner attached, so misprints and shortfalls are clear about who replaces what.
Clear leftovers or keep them
Leftovers in very large or small sizes tend to sit around. Keeping them can help with test prints or reorders but takes up space. Discounting them or donating them clears the shelves. The system shows what has been sitting a long time; the decision stays with you.

We set up blank garments per style, colour and size, with reservations for approved orders, purchase suggestions for shortages and usage booked after printing. Together we walk through an ordinary wholesaler delivery, and an order where a size is missing while another order needs the same variant. Customer-supplied garments, leftover overviews and receiving with a scanner you add once the floor is used to it.

Yes. The wholesaler's codes form the basis, so suggested orders fit straight into their system. If different wholesalers carry the same style under different codes, we link them. You can then also see which alternative exists when one wholesaler is sold out.
How do we handle garments clients supply themselves?
They are recorded separately with the client as owner and counted on arrival. They do not count towards your stock and cannot be reserved for other jobs. If something goes wrong on press, it is clear how many of the client's pieces were used.
What happens to misprints in the stock records?
Misprints are booked as usage with the reason from the job card. If a misprint is kept as a second, it gets its own status and does not count as blank stock. Stock figures are not polluted with printed pieces.
Do we have to scan everything on arrival?
Not necessarily. Counting per variant on a tablet and comparing with the packing slip works too. Scanning is quicker for big deliveries and avoids typing errors, but it is not a precondition for starting. You can switch later without changing the records.
