Manufacturing and processing: Invoicing software for textile printers
Invoicing software for textile printers: the invoice follows from the count per size at packing, with repairs kept apart from extra work, back orders left open and a payment link for the customer.
Where invoices stall for textile printers.
At textile printers what was ordered is rarely exactly what gets delivered. A size is unavailable and follows later, a few shirts misprint and are redone in a second run, or the client adds ten pieces at the last minute. Sometimes the client supplies their own garments and only the print is invoiced. Whoever invoices looks at the quote and the order quantity, not at the count at packing. So a client is invoiced for pieces not yet delivered, or the invoice misses added personalisation. On a part delivery, things occasionally get invoiced twice.

From finished work to paid invoice.
Gather the count per size
After packing, the count per size and per position, including personalisation, is already on the job card in the same software. That count sits next to the accepted quote. Anything not yet delivered, such as a size that follows later, is listed as open, so it does not end up on this invoice.
Review repairs and extra work
Repairs caused by your own misprint are marked and stay off the invoice by default. Extra work, such as additional pieces, an added position or redrawing a blurry logo, gets its own line with the reason. Whoever invoices can accept, adjust or drop each line.
Send the invoice per delivery
For a partial delivery, only the delivered part is invoiced, or the invoice waits until everything is complete, depending on the agreement with the customer. It goes out with a payment link and reminders follow automatically. The order tracks what has been invoiced, so a back order only produces the remainder.
Invoicing from the same software.
Textile printers often still invoice from an accounting package or their web shop back office, using order quantities instead of the count. Here quote, job card and count sit in the same software, so the invoice follows from what actually went out the door. Arrangements with resellers, such as neutral invoices or discounts, apply automatically. The floor owns what was printed and delivered, accounts own what is invoiced and when. The bookkeeper can look along or receive an export.
Invoice on order or on delivery
Invoicing the ordered quantity is simple but leads to credit notes for every missing size. Invoicing what was actually delivered needs a reliable count but is right first time. With the count from the job card, the second becomes feasible without extra work for the office.
Invoice part deliveries or wait
Invoicing a part delivery straight away helps cash flow, but the client then gets two invoices for one order. Waiting until everything is in is tidier for the client but can take a while if a size is sold out. You can set a fixed rule per client or order size.
Remakes visible or silent
Leaving remakes for your own errors off the invoice is logical, but listing them as a zero line shows the issue was dealt with. Some clients value that. Remakes requested by the client, such as a design change after approval, are chargeable and belong on the invoice with a reason.

At the start, invoicing is ready based on quote and count per size, with repairs separated from extra work, partial delivery, a payment link and automatic reminders. Together we walk through an order delivered exactly as ordered, and an order where one size follows later and a few pieces were reprinted. Customer-supplied garments without a garment price, reseller invoices and an overview of open back orders you switch on once you are ready.

Explore pricing and optionsHow do we avoid double invoicing on a back order?
Every order tracks which pieces have already been invoiced. For a back order, the software only creates an invoice for the remainder. Whoever invoices sees the earlier invoice alongside, so a duplicate line stands out before it reaches the customer.
Can we invoice print only when the client supplies garments?
Yes. For orders with customer-supplied garments, the invoice contains only the print, the setup charges and any personalisation. Misprints on customer garments are listed separately, so you can agree with the customer how they are compensated or replaced.
How does this work with orders from our web shop?
Web shop orders are often paid at checkout. The software then mainly shows differences after production, such as a size that could not be delivered and needs to be refunded or credited. Accounts settle those differences, and the bookkeeper sees them in the overview or the export.
Who decides whether artwork work gets charged?
Artwork records how much time went into the file, with a short reason. The office or sales then decides whether it goes on the invoice, based on what the quote said. That decision is kept with the order.
