Construction and installation: Invoicing software for sun-shading installers
Invoicing software for sun-shading installers that puts installed units, extra wiring and additional work from the signed-off job card on the invoice and sends it with a payment link.
Where invoices stall for sun-shading installers.
At sun-shading installers the invoice regularly differs from the quote. Of five screens quoted, four were installed, because the fifth arrived in the wrong size. The fitter had to run a longer cable or make an extra entry through the wall, and the customer bought an extra remote on the spot. A deposit was paid on acceptance. Whoever invoices pieces that together from the job card, the quote and the fitter's memory, and sometimes just bills the quote because it is quicker. After that, someone still has to keep track of which invoices are unpaid. Then the extra work is missing, the customer pays for a screen that is not up yet, or a balance sits open for weeks.

Gather installed units and extras
The invoice starts from the signed-off job card in the same software: which units were installed per opening and which extra work was recorded, such as additional wiring, a wall entry or an extra remote. Each line refers to the job card and the fitter's photos. Openings not yet installed are listed separately.
Review differences with the quote
The draft invoice sets installed work against the quote and the deposit received. Differences are flagged: a unit to be fitted later, extra work not in the quote, or an agreed discount. The office decides per difference what to invoice now and what to hold back.
Send with a payment link
Once the office approves, the invoice goes to the customer with lines per opening and per extra, the deposit deducted and a payment link included. Reminders go out automatically on your terms and the payment status is visible per order. If a line is queried, the office can show the matching job card and photo straight away.
Invoicing from the same software.
Sun-shading companies often invoice from accounting software or a quoting tool with invoicing built in, and look up installed work in job sheets and email. In the software, job card, quote and invoice come together on the same order: prices and terms from the quote, what is up from the job card, and the deposit already received. Your bookkeeper can look in or receive an export for receivables and VAT. The fitter owns the record of work done, the office owns the review and sending of the final invoice.
Take a deposit or not
A deposit on acceptance covers the cost of made-to-measure units a customer might later refuse. Without one the barrier is lower, but the risk higher. Many installers ask for a deposit on made-to-measure work and large jobs, but not on small repairs. The invoice then deducts that amount automatically.
Fixed prices for extras or time and materials
A fixed price for an extra metre of cable or a wall entry makes the invoice predictable and easy to explain. Charging time and materials suits surprises better, such as a wall that needs drilling differently. A price list for common extras with an hourly rate for everything else is often the workable mix.
Part invoice or wait until complete
When one unit on a job arrives late, you can invoice what is installed or wait until everything is up. A part invoice with a payment link keeps cash flowing but needs explaining to the customer. Waiting is simpler, but a long supplier delay leaves a large sum outstanding for weeks.

What we set up for your invoicing.
At the start your invoice lines per opening are ready, with extra work items, deposit deduction, payment terms and the wording of the reminders. We walk through a routine screen installation together and a job where one unit arrived wrong and only goes up later, so you can see how the part invoice and the balance invoice come from the same job card. A price list for common extras and invoices for service calls can be switched on when you are ready for them.

Explore pricing and optionsCan the invoice show what was installed per opening?
Yes. Each opening gets a line with type, size and location, for example kitchen at the rear. That helps most on larger jobs and with commercial clients who want to check every unit is in place. Extra work appears separately with a short description and a reference to the job card.
How do we stop extra work being forgotten?
Extra work is recorded on the job card as the fitter does it, with a photo. The draft invoice picks up every extra line and leaves the office to decide whether to charge it. Extras no longer disappear just because they only existed in the fitter's memory.
Does this work for service calls and repairs too?
Yes. A service call produces a job card with time, parts used and any call-out charge. The draft invoice prepares that and asks whether it falls under warranty. The office makes that call, knowing the warranty terms and the age of the unit.
Does the invoice go out automatically after installation?
No. After installation the invoice waits as a draft and someone in the office checks the differences before it is sent. Only then does it go to the customer with a payment link. Reminders do follow automatically, and you can see per order whether it has been paid.
