Register slabs and offcuts
On arrival each slab gets a label with number, material, thickness, finish, block and size, plus a photo of both faces. Offcuts left after cutting are recorded the same way, with their actual shape. The list then reflects what is physically in the rack.
Reserve for a job
A salesperson can hold a slab provisionally against a quote and allocate it firmly on acceptance. A reserved slab is visible to others but cannot be chosen. If a quote lapses, the slab is released after a reminder, so stone does not sit waiting for years for a customer who never calls back.
Update after cutting
After cutting, the workshop records what was used from the slab and which part goes back into the rack as an offcut. If a slab breaks or turns out to have a crack, that is logged with a photo and a reason. Stock then shows what is genuinely still usable.

Many stone fabricators keep stock in a spreadsheet owned by purchasing, or not at all and rely on whoever knows the yard. We take over the list where one exists and complete it with a single walk along the racks with a phone or tablet. Purchase data and supplier prices stay with purchasing. Sales sees availability and photos; the workshop updates status after cutting. Existing labels can stay if they carry a unique number.
Every offcut or only large ones
Recording everything gives a complete picture but costs time for pieces that will probably never be used. Most workshops only log offcuts large enough for a windowsill or threshold and let the rest go. We agree that minimum up front so the list stays useful.
Hold stock or order per job
Some materials you only order once the customer signs; others you keep in stock because they are asked for often. For order only materials, the system is mainly a list of what is on its way. For stocked materials it is about seeing when to reorder. You set the route per material.
Track block and pattern or not
Slabs from the same block look alike; slabs from another block sometimes do not. For a large job or a bookmatch the block is essential, for a single windowsill less so. Recording the block lets you combine pieces from the same batch and avoid a colour mismatch between kitchen and sill.

From the start, slabs and larger offcuts are recorded with photo, size, block and status, and salespeople can reserve them for quotes and jobs. Together we go through an ordinary week of incoming slabs, and a slab that breaks during sawing and must be replaced from the same block. Searching offcuts by size, a signal on low stock and reserving from the slab layout you add once recording runs well.

Yes. Enter length, width, thickness and optionally the material, and you get the offcuts that are big enough, with photos. When a windowsill enquiry comes in, you see straight away whether something suitable is already in the yard before you open a new slab.
How do we stop two salespeople offering the same slab?
A slab included in a quote is provisionally reserved in that salesperson's name. A colleague sees this and cannot allocate it as well. They can still ask about it or flag that their customer is interested, so the conversation about priority happens between people.
What do we do with slabs that have sat in the yard for ages?
The list shows for each slab when it arrived and whether it was ever reserved, so you can see which materials move slowly. Whether you discount them, use them for offcut work or leave them is your call, but that call becomes visible.
Do we have to relabel every slab?
Only if they currently lack a unique number. Existing numbered labels are taken over and linked to the record. Slabs without a recognisable label get one during the first walk round the racks. After that, labelling happens on arrival as part of unloading.
